AI Operations Assistant
We are looking for an AI Operations Assistant to help our team manage the practical side of advisory work. Our partner is a major UK financial firm, and we are currently working with their leadership to help them implement better internal structures. This role is a full-time, permanent position and is entirely remote, allowing you to work from your own environment while staying closely connected with our core team through digital tools.
About the Role
The AI Operations Assistant exists to support the quiet, steady administrative work that allows our consultants to focus on high-level strategy. In this position, you will help bridge the gap between the theoretical use of AI tools and the daily reality of a large financial organization. You will not be building the AI models yourself. Instead, you will be observing how these tools are used, documenting the outcomes, and ensuring that our project records are accurate and up to date. At Olive Tree, we believe that clear documentation is the foundation of good management, and this role is essential to maintaining that standard for our clients.
What You Will Do
Your daily work will involve a mix of technical coordination and plain English writing. You will be responsible for the following tasks:
- Drafting and organizing meeting summaries that focus on decisions and assigned tasks.
- Monitoring the use of AI tools within project workflows to ensure they are following the agreed-upon guidelines.
- Updating project trackers to reflect the current status of different work streams.
- Conducting basic research on AI software features to help the team understand which tools might solve specific client problems.
- Organizing digital files and documentation so that any team member can find what they need without asking.
- Proofreading reports and presentations to ensure they are clear, simple, and free of jargon.
- Helping to schedule and coordinate project milestones across the remote team.
- Compiling weekly progress updates based on data gathered from various project sources.
