Reporting to the Head of Security & Crisis Management, you will provide essential administrative and operational support to the Global Risk Operations Team. This role is key to maintaining resilience frameworks, coordinating crisis response logistics, tracking remediation actions, and providing foundational security and risk advice to ITV productions globally.


Key Responsibilities

1. Production & Operational Support

  • Provide foundational advice, guidance, and support for security, risk, and resilience queries to ITV Studios and third-party productions.
  • Maintain and update central security and resilience policies, ensuring documentation is current, version-controlled, and accessible to relevant production teams and business areas.
  • Provide comprehensive administrative support for governance meetings, such as the bi-monthly Studios Global Risk Operations meeting. Responsibilities include calling meetings, preparing agendas, and taking accurate minutes.
  • Track and monitor actions arising from meetings, audits, and risk assessments, actively following up with stakeholders to ensure they are completed within agreed timeframes.

2. Crisis & Incident Management

  • Lead the administrative coordination of the Company Incident Response Team (CIRT). This includes scheduling quarterly testing, calling emergency meetings during live incidents, and acting as a loggist to record critical decisions and action.
  • Administer and operate AlertMedia (ITV’s mass messaging tool). Ensure contact groups are up-to-date and take responsibility for distributing critical communications (via SMS, email, and phone) during times of crisis, major incidents, or system tests.
  • Assist in maintaining and auditing the Business Continuity (BCP), Disaster Recovery (DRP), and Crisis Management Plans (CMP) across various business units to ensure contact details and escalation pathways are accurate.
  • Track post-incident and post-exercise remediation plans, ensuring departments close out identified gaps and action items efficiently.

3. Intelligence & Systems Management

  • Serve as a support operator for the Global Risk Operations (GRO) toolkit, including Dataminr Pulse, Group Risk (Airtable), and the I-Sight Reporting Tool.
  • Assist with data entry, trend analysis, and compiling risk metrics for management board reporting.

Skills You’ll Need (Minimum Criteria)

  • Experience: Proven experience in an administrative, project coordination, or junior risk/security role.
  • Sector Background: An interest in or previous background working within media, broadcast, production, security, or operational environments.
  • Technical Proficiency: Comfortable using reporting tools, databases, and communication systems. Experience with mass notification systems (e.g., AlertMedia) is advantageous but not essential.
  • Evidence of an interest in geopolitics, analysis, and risk and crisis management.

  • Organisational Skills: Highly organised with strong attention to detail. Proven ability to minute fast-paced meetings, track complex actions, and hold stakeholders accountable.
  • Attributes: A proactive team player with a pragmatic, flexible approach to adapting to fast-paced business requirements and sudden incident response needs.
  • Availability for Out-of-Hours Support: Due to the nature of this role, support may be required to provide out-of-hours administrative and communications support during major crises or live incidents.
