Job Description
Job Title: Area Operations Coordinator
Location: Area / Hybrid
Reports To: Area Manager
Contract Type: Full-time, Permanent
Role Overview
The Area Operations Coordinator is responsible for the day-to-day operational coordination and planning activities within a designated area.
The role owns operational execution, route administration, service amendments, rota management and resource coordination, ensuring services operate efficiently and accurately. The role acts as the operational backbone of the area team, working closely with the Area Manager and central support functions to ensure service continuity and readiness.
The Area Operations Coordinator also provides support and cover for the Area Liaison Coordinator when required but does not hold primary accountability for liaison activities.
Key Responsibilities
Operational Coordination & Service Delivery
- Coordinate day-to-day operational activities across the area.
- Manage service user additions, removals and amendments.
- Process route changes and operational adjustments.
- Maintain accurate operational records and planning systems.
- Ensure operational changes are communicated effectively.

Route & Resource Planning
- Support route planning and optimisation activities.
- Maintain area route records and operational documentation.
- Assist with service mobilisation activities.
- Monitor route capacity and resource utilisation.
- Support contingency planning activities.
Rota Management
- Maintain operational rotas and staffing allocations.
- Manage daily resource deployment requirements.
- Coordinate operational cover arrangements.
- Support annual leave planning and resource scheduling.
- Escalate resource gaps and operational risks.
Fleet Coordination
- Coordinate vehicle movements within the area.
- Liaise with Fleet teams regarding vehicle requirements, availability and allocation.
- Support vehicle mobilisation and replacement activities.
- Maintain visibility of operational fleet requirements.
Operational Administration
- Maintain operational systems, trackers and records.
- Support onboarding administration and workforce allocation activities.
- Assist with mobilisation planning.
- Ensure accurate data recording and documentation.
- Support Area Manager in producing operational reports and performance information.

Collaboration & Cross Functional Support
- Work closely with the Area Manager, Area Liaison Coordinator and Driver / Field Supervisors.
- Support customer communications during operational disruption.
- Provide operational information for stakeholder discussions and performance reviews.
- Support the Area Liaison Coordinator during periods of absence or increased demand.
On-Call Responsibilities
- Participate in the area on-call rota.
- Support operational response activities during service disruption.
Essential Skills & Experience Required
- Experience within transport operations, logistics or planning environments.
- Strong organisational and coordination skills.
- Excellent attention to detail.
- Ability to manage multiple priorities simultaneously.
- Strong IT skills including Microsoft Office.
- Effective communication and problem-solving abilities.
Desirable
- SEND or Adult Social Care transport experience.
- Route planning or scheduling experience.
- Experience using transport management software.
- Understanding of Local Authority transport operations.
