About the Role
We are currently seeking an Assessment Delivery Executive to play a critical role in ensuring the fair, consistent, and timely delivery of assessments for the Institute and Faculty of Actuaries (IFoA). Reporting to an Assessment Delivery Manager, this hybrid role involves both remote work and weekly attendance at our Oxford hub.
The Assessment Delivery Executive will support the IFoA’s 15,000+ learners, managing multiple assessments twice yearly (plus three flexible assessments) while ensuring accuracy across internal databases, externally managed platforms, and examiner reporting systems.
Collaborating with 400+ external examiners and markers, you will oversee data integrity, access arrangements, deadline monitoring, and results communication—all while maintaining the highest standards of adherence to GDPR and IFoA policies.
Key Responsibilities
Assessment Setup & Configuration
- Support internal database and exam platform configuration, ensuring:
- All assessment data (including 15,000 learners and 26+ public/unique assessments) is accurately inputted in time for scheduling
- Validation of all data against IFoA standards before live delivery
- Liaise with external suppliers to troubleshoot technical challenges
Exam Administration & Logistics
- Assist in authoring exam questions on platforms, adherence to deadlines, and quality standards
- Coordinate access arrangements under the Equality Act 2010, ensuring:
- Fair and confidential support for candidates with special needs
- No unfair advantage over other learners
- Monitor external examiner/marker progress, address delays, and ensure timely results submission
- Manage mitigating circumstances documentation, reviewing and preparing submission packs for approval
Results & Communication
- Collate and verify Chief Examiner reports
- Dispatch results, transcripts, and candidate communications within agreed timeframes
- Work with IFoA volunteers (400+) and teams to uphold professional standards
Process Improvement & Compliance
- Propose system enhancements to improve efficiency and accuracy
- Participate in testing protocols for assessment platforms to ensure readiness
- Handle data entry with GDPR compliance, ensuring secure handling across platforms

Decision-Making & Complexity
Real-Time Support
- Refer to exam rules/regulations, escalate uncertainties to the Senior Executive
- Monitor marking allocation/dropouts, propose changes to meet deadlines
- Adjust processes for efficiency, including volunteer trainer evaluations
Data Governance
- Enter complex assessment data into IFoA systems (e.g., exam prompts, candidate notes)
- Balance data sharing constraints with operational needs (e.g., GDPR compliance)
- Aggregate large datasets for management reports under tight deadlines
Self-Management
- Work independently yet collaboratively, resolving routine queries and escalating escalating issues
- Manage intricate chains of correspondence (external stakeholders + IFoA learners)
- Track risks (e.g., platform disruptions, examiner availability) and implement solutions

Requirements
Essential Knowledge & Experience
- Excellent customer service with the ability to handle sensitive situations (e.g., access arrangements, mitigating circumstances)
- Strong concentration and accuracy, with capacity to process high volumes of data (e.g., bulk itens)
- Independent work ethic, but ability to contribute to team initiatives when needed
- Discretion in managing confidential and personalised assessment information
- Organisation skills, with a proven track record of meeting tight deadlines in high-pressure environments
- Well-developed written and verbal communication skills (to interact with learners, examiners, and Senior Management)
Desirable
- Experience in professional body or higher education administration
- Commitment to professional development (e.g., CPD credentials, volunteering positions)
- Prior volunteering role, given collaboration with 400+ external assessors

Flexibility & Logistics
- Hybrid policy: Colleagues can distribute hours between Oxford hub and remote work

- Travel commitments:
- ~6 weeks’ annual period of post-exam support (overnight adaptations during live sessions)
- Weekly Oxford presence, plus occassional overnight stays (~2/year + event-site travel)
