About The Role

The Business Support Administrator is responsible for delivering high-quality administrative, reporting, and governance support to ensure the effective operation of business processes. This role plays a key part in maintaining compliance, monitoring performance, and supporting continuous improvement across standard operating procedures (SOPs) and business controls.

Reporting to

Senior PPM Data Planner

Key Responsibilities

Reporting & Performance Tracking

  • Produce management reports, scorecards, and dashboards to monitor business performance
  • Track progress against key metrics, highlighting risks, issues, and trends
  • Provide accurate and timely reporting to support decision-making

Governance & Compliance

  • Ensure governance and assurance of Standard Operating Procedures (SOPs)
  • Monitor compliance with internal processes and highlight areas of non-adherence
  • Support audits and assurance activities where required

Document & Library Management

  • Manage and maintain central libraries of SOPs, Notices, and SFG20 documentation
  • Ensure all documents are up to date, accessible, and aligned with current standards
  • Coordinate updates and version control across key process documentation

Process Adherence & Follow-up

  • Proactively track and chase adherence to verification processes and operational notices
  • Engage with stakeholders to ensure compliance with required standards
  • Escalate issues and delays where necessary to support timely resolution
  • Ensure accurate and timely communication with stakeholders

Key Skills & Experience

  • Proven experience in an administrative or business support role
  • Strong experience in reporting, data analysis, and performance tracking
  • High attention to detail with a focus on accuracy and data integrity
  • Excellent organisational and time management skills
  • Proficient in Microsoft Office suite including Excel and reporting tools
  • Strong communication skills with the ability to engage and influence stakeholders
  • Experience working within governance or compliance frameworks
  • Experienced in Facilities Management and proficient in using Computer-Aided Facility Management (CAFM) systems

  • Experience working with SOP frameworks and assurance processes
  • Familiarity with SFG20 or similar maintenance standards
  • Experience in a regulated or process-driven environment

Hours and Environment

This position will be based from the Glasgow (Hillington) OCS office.

Core working hours for this position are from 8am until 16:30pm, Monday to Friday. However, flexibility will be expected regarding hours of work, to suit the needs of the business and team.

Hybrid working 1 day per week is available at managers discretion following successful induction.

You must have the right to work in the UK

Security clearance may need to be undertaken due to the needs of the customer’s organisation.
