Job Title: Asset & Onboarding Information Manager

Location: London

Job Type: Full Time/Permanent (5 Days in the office)

Overview

We are seeking an experienced Asset & Onboarding Information Manager to take ownership of the onboarding, compliance, and information management process for properties entering a rapidly growing residential portfolio.

This is a critical position that sits between Investment, Asset Management, Development, and Operations teams, ensuring every newly acquired asset is transitioned into the portfolio with complete, accurate, and trusted information.

The role is ideal for someone who thrives on organisation, accuracy, process improvement, and stakeholder coordination within a property or real estate environment.

Key Responsibilities

Acquisition & Asset Onboarding

  • Support the acquisition process from an operational and information management perspective.
  • Review acquisition packs and identify missing documentation, operational risks, and outstanding actions.
  • Verify property information pre- and post-completion.
  • Maintain onboarding trackers and ensure actions are completed within agreed timescales.
  • Coordinate the successful transition of newly acquired assets into the operational portfolio.

Tenancy Verification & Compliance

  • Review and verify tenancy information, agreements, and supporting documentation.
  • Ensure tenancy records are accurate, complete, and suitable for operational management requirements.
  • Coordinate and monitor statutory compliance documentation, including licences, safety certificates, risk assessments, EPCs, planning records, and other regulatory documentation.
  • Liaise with managing agents, operators, consultants, contractors, and legal advisors to resolve outstanding information requests.

Technical Due Diligence & Survey Coordination

  • Coordinate the instruction and delivery of technical surveys and assessments.
  • Manage survey access, monitor progress, and ensure deliverables are received and distributed internally.
  • Track technical due diligence requirements and support internal review processes.

Asset Information Management

  • Maintain accurate, structured, and complete digital records for all assets.
  • Manage key property information including floorplans, compliance certificates, technical surveys, warranties, planning documentation, asset photographs, business plans, and operational records.
  • Take ownership of asset data quality across business systems and reporting platforms.
  • Support reporting requirements and information management initiatives across the portfolio.

Process Improvement

  • Continuously review and improve onboarding and asset information management processes.
  • Implement procedures, controls, and best practices to improve efficiency, consistency, and data quality.
  • Support the development of scalable systems and processes as the portfolio grows.

What We're Looking For

Essential

  • Experience within residential property, PBSA, Build-to-Rent, commercial real estate, or a similar property environment.
  • Strong organisational skills with exceptional attention to detail.
  • Experience coordinating multiple stakeholders and managing competing priorities.
  • Excellent written and verbal communication skills.
  • A proactive approach with the ability to take ownership and deliver outcomes.
  • Strong Microsoft Office and SharePoint skills.

Desirable

  • Knowledge of residential property compliance and licensing requirements.
  • Experience supporting acquisitions, mobilisation, or portfolio integration projects.
  • Experience using property management and reporting systems.
  • Background within a property owner, consultancy, managing agent, or legal environment.

  • Meticulous and detail-oriented, with a commitment to accuracy.
  • Takes ownership and follows tasks through to completion.
  • Confident working with a variety of internal and external stakeholders.
  • Comfortable challenging incomplete or inaccurate information.
