Assistant Administration Manager
Location: Manchester office (M3) Hours: 37.5 per week
About the Role
The Assistant Administration Manager will assist the Administration Manager in overseeing the operational management of the Patient Healthcare Advisors (PHAs), who deliver critical administrative support to clinical teams. Key responsibilities include:

Team Leadership & Performance:
- Maintain effective working relationships to meet operational targets (e.g., timely patient access to elective services).
- Ensure 80%+ performance efficiency of PHAs in handling referral management, appointment booking, procedure scheduling, and outpatient clinic coordination.

Policy & Compliance:
- Support adherence to the Patient Access Policy through team training and guidance.
- Monitor and escalate risks to delivery timelines to the Administration Manager.

External & Internal Collaboration:
- Attend external meetings with commissioners as required.
- Foster interdepartmental relationships and align with organisational projects.
- Investigate patient complaints (informal/formal) and ensure actionable learning across the team.

- Reporting & Proactive Support:
- Provide daily performance updates and targeted reports to Management.
- Execute additional responsibilities as delegated to support service growth.

- Candidate Profile:
- Sharp communication, presentation, and interpersonal skills essential.
- Ability to prioritise tasks under pressure with a highly organised mindset.
- Strong performance management skills and KPI identification.
- Self-driven, motivated under pressure, and capable of influencing cross-team collaboration.
