We are looking for a proactive Assistant Business Manager to play a central role in the day-to-day operational leadership of our practice.
You will help coordinate services across the organisation, support operational teams and ensure issues are resolved effectively. You will be a trusted point of contact for colleagues, bringing people together, keeping priorities moving and helping us deliver safe, efficient and consistently high-quality services for our patients.
What you’ll be doing
You will:
- Provide first-line coordination and practical support for day-to-day IT and digital issues affecting operational teams.
- Act as a link between staff and internal and external system support providers, ensuring issues are logged, tracked and progressed.
- Support systems use, troubleshooting and the adoption of digital processes, helping to maintain operational continuity during system issues, upgrades or outages.
- Coordinate day-to-day health and safety and facilities activity, including monitoring risks, escalating issues, tracking actions and maintaining records and policies for audits and inspections.
- Lead and support the Rota Manager to ensure clinical rota templates maximise appointment availability and that changes are communicated effectively across teams.
- Oversee patient communications through the practice website and social media channels, ensuring content is accurate, up to date and aligned with service changes.
- Lead, support and develop the Patient Services Team Leaders, Operations Assistant and Rota Manager.
- Work with Patient Services and the Business Director to improve patient experience across front-line services and administrative pathways.
- Use data, feedback and operational insight to identify trends, service gaps and opportunities for improvement.
- Provide proactive, high-level executive support to the Business Director and Board.
- Anticipate priorities, prepare papers, coordinate actions, manage follow-up activity and support delivery against business objectives.
- Support the practice’s governance and compliance framework by coordinating policies, audits, action plans, risk logs, incident follow-up, mandatory processes and evidence gathering.
- Work with relevant leads to ensure responsibilities and actions are clearly allocated and progressed.
- Map, document and embed standard operating procedures and effective working practices where needed.
- Coordinate and support operational projects, service changes and improvement initiatives.

About you
You will be a confident and approachable operational leader who can build strong relationships across a busy organisation.
You will bring:
- Education to A-Level standard or equivalent experience.
- A sound understanding of operational management within general practice, primary care, the NHS or a similarly complex service environment.
- A good understanding of patient service delivery, governance, compliance, service improvement, confidentiality, information governance and professional boundaries.
- Working knowledge of employment-related people management processes, including induction, absence management, performance support and conduct issues.
- Experience of supervising or managing staff in a busy operational or service-led environment, with the ability to motivate, support and challenge others constructively.
- Experience of coordinating day-to-day operations, resolving problems and managing competing priorities in a fast-paced environment.
- Experience of supporting meetings, preparing papers, maintaining action logs and providing senior administrative or executive support.
- Experience of working across teams, building effective relationships, reviewing processes and implementing improvements.
- Strong organisational, project management, problem-solving and operational judgement skills.
- Strong IT and digital skills, with confidence using practice systems and Microsoft 365 applications.
- The ability to build credibility quickly and work confidently with staff at all levels.
- High emotional intelligence, resilience and professionalism, with the ability to remain calm and adaptable under pressure.
- A compassionate, approachable and patient-focused style, alongside a proactive, dependable and solutions-oriented approach.
- The ability to handle sensitive and confidential information with discretion and sound judgement.
- A commitment to high standards, continuous improvement, team development and promoting a culture of empathy, accountability, professionalism and service excellence.

- A management or leadership qualification, or a willingness to work towards one.
- Training in quality improvement, project management, governance or coaching.
- Experience of supporting organisational change, digital implementation or service redesign.
Job Details
This is a full-time position, working 37.5 hours per week Monday to Friday.
In return, you’ll receive a salary of £42,000–£43,500 per annum, depending on experience.
