Assistant Company Secretary OR Experienced Executive Assistant/PA - 12 month contract

I am working with a long-standing Insurer to support them in finding an assistant company secretary, however, this role is ideal for an experienced Executive Assistant or PA who enjoys high‑level coordination, working closely with senior leaders, and being trusted with sensitive, business‑critical information. It blends classic EA strengths — organisation, communication, logistics, relationship‑building — with exposure to board governance, corporate compliance and sustainability reporting.

Purpose of the Role

Support the Head of Legal & Company Secretary and the Board by ensuring smooth, well‑organised governance operations. You’ll be central to keeping board activity running seamlessly, maintaining high standards of accuracy, confidentiality and professionalism, and helping the organisation meet its regulatory and sustainability obligations.

What You’ll Do

  • Provide high‑quality executive support to the Head of Legal & Company Secretary.
  • Coordinate diaries, communication and logistics for non‑executive directors.
  • Organise Board meetings, Away Days and the AGM — venues, travel, suppliers and end‑to‑end logistics.
  • Manage expenses and administrative processes for senior stakeholders.
  • Prepare agendas, upload board papers and take minutes for key meetings.
  • Handle statutory filings with Companies House, FCA and other regulators.
  • Maintain governance documents, policy frameworks and the contracts register.
  • Support production of Annual Report & Accounts.
  • Collect and organise sustainability and climate‑related data for reporting and accreditation.
  • Build strong working relationships across the organisation and with external partners.

Experience & Skills That Fit Well

  • Strong EA/PA background with excellent organisation, prioritisation and attention to detail.
  • Confident writer with the ability to produce clear, accurate reports and minutes.
  • Comfortable working to tight deadlines and managing multiple moving parts.
  • Relationship‑driven, diplomatic and able to work with senior stakeholders.
  • Interest in governance, compliance or sustainability (experience helpful but not essential).
  • Proactive, solutions‑focused and able to work independently.

  • Highly organised, calm under pressure and great at juggling priorities.
  • Discreet, trustworthy and comfortable handling confidential information.
  • Strong communicator with a positive, “can‑do” approach.
