Purpose of the Role
To support the Design Manager with the coordination, tracking and administration of design information across the project.
The role will assist with consultant/subcontractor deliverables, meeting actions, document control support and design trackers, while using technical understanding of drawings, schedules and submissions to identify inconsistencies or coordination issues for review.
Key Responsibilities
Design Tracking and Information Control
- Maintain and update design trackers, including the IRS, design deliverables tracker, design comment trackers, RFI trackers and package review trackers.
- Update statuses based on information received from consultants, subcontractors and the project team.
- Highlight missing, overdue or inconsistent information to the Design Manager.
- Support the collation of design information for consultant and subcontractor reviews.
- Assist with tracking consultant and subcontractor design deliverables against agreed dates.
Procore / SharePoint / Document Control Support
- Assist with uploading, filing and tracking drawings, documents and submissions on Procore and SharePoint.
- Check that revisions, titles, statuses and document references are correctly recorded.
- Support the preparation of review workflows and design review packs.
- Liaise with the Information Manager where required to ensure information is correctly managed.
- Maintain clear records of issued, reviewed and superseded information.
Meeting and Action Management
- Prepare basic information packs ahead of design meetings, workshops and package reviews.
- Attend design meetings and workshops as required.
- Take structured meeting notes and action points.
- Maintain action trackers following DTMs, workshops and package coordination meetings.
- Follow up agreed actions with consultants, subcontractors and internal team members.
- Escalate delayed or unresolved responses to the Design Manager.

Design Coordination Administration
- Support the Design Manager in coordinating consultant and subcontractor responses.
- Assist with collating comments from the design, commercial and site teams.
- Help track close-out of design comments and outstanding queries.
- Support the management of design-related registers, schedules and correspondence.
- Assist in identifying gaps between issued information, required deliverables and project trackers.
Internal Team Support
- Provide administrative support across design-related interfaces with commercial, site and project teams.
- Help maintain visibility of design actions and responsibilities.
- Assist in preparing summaries of outstanding design items for internal progress meetings.
- Support the Design Manager in keeping records organised and auditable.
Responsibility Statement
Responsibility for design leadership, technical coordination, design risk, consultant/subcontractor direction and project design strategy remains with the Design Manager.
Experience and Profile
The role would suit someone with approximately 1–3 years’ experience in design coordination support, assistant design management, document control within a technical construction environment, or a graduate construction, architecture, engineering or project management role.
Required Skills
- Good understanding of construction drawings and design information.
- Strong document control and information management discipline.
- Good working knowledge of Excel and tracker management.
- Experience using Procore, SharePoint or another CDE would be beneficial.
- Good written communication skills.
- Ability to record clear actions and follow up professionally.
- Highly organised, accurate and detail-focused.
- Able to work in a fast-paced project environment.
- Comfortable liaising with consultants, subcontractors and internal team members.

Preferred Skills
- Previous experience on a main contractor project.
- Familiarity with design review workflows.
- Full understanding of RFIs, submittals, drawing registers and design trackers.
- Experience with consultant/subcontractor design deliverables.
- Understanding of construction project stages and design coordination processes.
Reporting Line and Interfaces
- The Assistant Design Coordinator will report to the Design Manager on a day-to-day basis.
- They will interface with the Information Manager for Procore, SharePoint and document QA matters.
- They will interface with the commercial team where design information affects procurement, scope or change control.
- They will interface with the site team where design information affects construction coordination.
- They will interface with project leadership where required, via the Design Manager.
