Standard Working Arrangements
- Core hours: 9:30AM – 5:30PM
- Flexible hours where business needs dictate (e.g., project demands or deadlines)
- At least two days working from home, subject to business requirements (coordinated with the Team Leader)
- Note: This policy may change; does not form part of contractual terms.
Responsibilities
Technical & Administrative Duties
- Manage land title workflows, including:
- Scheduling, labelling, and recording deeds, files, and folders
- Performing online searches via Land Registry Portal and Searchflow
- Creating and maintaining extranet sites such as HighQ (document uploading/naming)
- Calendar & travel coordination:
- Book appointment slots, rooms, and hybrids (email meeting prep)
- Arrange client visits/meetings (confirms locations, agendas, and travels)
- Document processing:
- Prepare PowerPoint presentations for client briefings
- Compile timely billing documents (proofread, follow-up with Accounts)
- Draft, edit, and amend correspondence/disclosures (check formatting)
- Verify headers/footers for accuracy in all documents
- Enable internal processes:
- Submit timesheets, expenses via ChromeRiver
- Input data into InterAction, Excel, and other internal systems
- Clearance & matter setup:
- Research and compile New Matter memos (FactCheck company names)
- Flag any changes requiring staff refreshers/new training

Filing & Information Governance
- Maintain paper, electronic filing systems and up-to-date admin files
- Follow Information Governance archiving rules
- Close files punctually, manage knowledge transfers (only reopened when possible)
Client & Assistant Support
- Client relation queries: Triage and handle initial calls (taking notes)
- Acting representative for firm when fee-earners are in meetings
- Support business development (event coordination, logistical arrangements)
- Internal liaison: Inclusive problem-solving via email, phone, or in-person requests
Technical & Soft Skills
- Paid precision in spelling/grammar, plus mastery of:
- Advanced Microsoft Word/Outlook
- Intermediate Excel, alongside PowerPoint/Internet usage
- Typing speed: 60+ wpm

Requirements & Attributes
Academics & Qualifications
- GCSE or equivalent; A Levels preferred
- Qualified RSA Level II in Business Typing
Note: A legal practice support diploma is advantageous but not essential.

- Strong legal contextual knowledge (Real Estate experience is mandatory)
- Self-directed with demonstrated reliance: self-determined and proactive

- Professional and personable on a multichannel level (client calls, interoffice messages)
- Physical appearance and demeanour are well-suited for client-facing roles
- Strong powerful telephone manner when handling callers
- Displays self-confidence, grace under pressure, and ability to handle work-to-deadlines

Pay Range (Posted)
