Assistant Licensing Officer

Grade 5: £26,824 – £28,142

About the Role

We are looking for a motivated and customer-focused Assistant Licensing Officer to join our Licensing Team. This is an exciting opportunity to play a key role in delivering a professional and efficient licensing service to businesses, licence holders and members of the public.

As the first point of contact for many customers, you will provide advice and guidance on licensing matters, process applications, maintain accurate records and support the day-to-day administration of a busy licensing service. The role requires strong organisational skills, excellent attention to detail and a commitment to delivering high-quality customer service.

Working as part of a supportive team, you will contribute to the administration of a wide range of licensing functions and help ensure that services are delivered efficiently and effectively.

Key Responsibilities

As an Assistant Licensing Officer, you will:

  • Act as the first point of contact for customers at the public counter, providing information and guidance, accepting applications and issuing licences and permits.
  • Receive, process and receipt cash and other payments and ensure the secure handling, banking and reconciliation of income.
  • Input licence applications and other data onto the Licensing Software System, including scanning, uploading and processing digital images.
  • Maintain computer databases and other record management systems, ensuring information is accurate and up to date.
  • Raise invoices and process accounts using the Council's financial systems to recover licensing fees and charges.
  • Respond to telephone enquiries and provide timely, professional customer service.
  • Prepare routine management information and performance data.
  • Assist in the development and implementation of office procedures to promote continuous improvement and value for money.
  • Support the development of licensing systems, processes and working practices.
  • Produce licences, badges, permits and licence plates.
  • Participate fully in the team's work programme and support service priorities.
  • Ensure services are delivered to a high standard, taking account of customer needs and expectations.

Essential Skills and Experience

  • Excellent customer service and communication skills.
  • Experience of working in an office or administrative environment.
  • Good ICT skills, including the use of Microsoft Office applications.
  • Experience of maintaining accurate records and databases.
  • Ability to manage a varied workload and meet deadlines.
  • Good numerical skills and experience of handling financial transactions.
  • Strong attention to detail and accuracy.
  • Ability to work effectively as part of a team.
  • A flexible and positive approach to work.

Desirable

  • Experience of working within a licensing, regulatory or local government environment.
  • Experience of using specialist software systems and financial systems.
  • Knowledge of licensing services and legislation.
