Hours: 40 hours per week
Ongoing Responsibilities Include
As Assistant Manager your responsibilities will include:
- Assistant to the General Manager to support day to day operation of your site.
- To assume the day-to-day responsibilities of the General Manager in the event of their temporary absence.
- To build relationships and work closely with senior members and clients across the business.
- Leading the site-based sales process. Managing the sales tours calendar and reporting activity back to the Sales team. Leading effective, personalised tours that show off our brand, the property and advising rates, add-on services and booking information.
- Demonstrate leadership and management skills to support the General Manager to build and maintain a high achieving team.
- To be part of an on-call rota as required by the business.
- Taking full ownership of the Resident experience and wellbeing.
- Working with your General Manager, and the Compliance & Risk team to implement and maintain all health and safety policies, and risk assessments.
- Play a key role in holding quarterly site meetings in cooperation with the General Manager.
- Lead effective, personalised tours that show off our brand, the property, advising rates, add-on services and booking information.
- Completing front of house shifts as necessary to support the business.
- Working with the General Manager and your team to implement and maintain all standard operating procedures.
- Overseeing front of house payments, updating documents and weekly procedures, and reporting any issues to your manager.
- Assisting the Finance Team with the collection of rent instalments and following up residents with late payments.
- Making sure supplies, stores, materials, consumables, spares and contracted services are procured economically and competitively.
- Purchasing and stock control for soft and Hard FM services.
- Managing the location’s staffing levels in line with budget ensuring 24-hour building cover.
- Working closely with the maintenance, accommodation and accounts teams.
- Supporting the General Manager with recruitment of team members in line with the HR standard operating procedures and recruitment and selection policies.
- To implement relevant training for the team including reviews or e-learning courses.
- Strive to maintain an engaged and motivated team environment within your site, promoting performance excellence.
- Liaising and maintaining relationships with the local community and various authorities.
- Understand the changing needs of our students and clients, adapting our services when required to maintain and improve our quality standards.
- Promote the Scape experience to prospective and existing residents.
- Handle complaints professionally and compassionately, and ensure they are logged accurately for follow-up and resolution.
- Treat company documents as private and confidential, ensuring communications are not shared or forwarded, and comply with the Data Protection Act.
- Supporting the General Manager in executing a successful site turnover.
- Understand and follow all our policies and procedures.
- Effectively manage shared kitchen (flat) processes to ensure a smooth and positive resident experience, while maintaining cost control.
- Support the day-to-day management of relationships with nominations partners and other third-party organisations, ensuring clear and effective communication to uphold service standards and promptly resolve any issues.
- In the absence of the General Manager, take responsibility for overseeing the building’s operations, ensuring the continued smooth running of the property, addressing any urgent issues that may arise, and following the escalation procedure.
