Assistant Marine HR Manager – Job Description

Protect oceanic operations and uphold company standards by assisting the Marine HR Manager in managing personnel, ensuring compliance with company, client, statutory, and regulatory requirements. Serve as the primary backup for crew planning, personnel administration, stakeholder communications, staff oversight, and specialised projects.


Roles & Responsibilities

Crew Operations Management

  • Monitor fleet rotation plans to ensure timely crew reliefs across assigned vessels.
  • Support senior managers in crew changes, travel arrangements, and joining preparations.
  • Maintain up-to-date company and client databases.
  • Assess vessel manning status and flag potential crew shortages or relief risks.
  • Coordinate dry dock projects, vessel start-ups, technician mobilisations, and special manning needs.
  • Escalate operational concerns affecting vessel operations to the Marine HR Manager.
  • Approve travel and manning agency invoices within the system.

Crew Planning & Manning Compliance

  • Ensure vessels are manned per company, client, flag state, MLC, STCW, DMW, DGS, and other applicable regulations.
  • Validate crew qualifications, certifications, and endorsements before deployment.
  • Track crew availability and facilitate succession planning for critical roles.
  • Assist in promotion assessments and career development planning for officers and crew.
  • Support crew-related concerns, disputes, and service resolution with the Marine HR Manager.

Staff Supervision & Performance Management

  • Guide, coach, and support Crew Managers and Marine HR personnel on a day-to-day basis.
  • Evaluate workload distribution and operational performance of assigned staff.
  • Lead team meetings to discuss crew rotations, recruitment, vessel requirements, and projects.
  • Identify training needs and propose development initiatives to enhance team effectiveness.

Client & Stakeholder Coordination

  • Liaise with vessel management, clients, manning agencies, and stakeholders on crew matters.
  • Ensure timely responses to client requests and operational demands.
  • Aid in new client implementations and vessel transitions.
  • Uphold the Company’s Safety & Environmental Policy, and adhere to additional duties as required.

Knowledge & Experience

Education:

  • Graduate of a 4-year course (preferably in business or maritime studies).

Experience:

  • 2+ years in a manning company (or cruise line/ship management, or past seaworthiness).
  • Additional knowledge of Marine (D&E) Department roles (preferred).
  • Familiarity with STCW and MLC 2006 regulations.
