ASSISTANT PROPERTY MANAGER

Role Overview

You will play a key role in delivering outstanding property management to our residents and clients, bringing professionalism, attention to detail, and a calm, solutions-focused approach. As a trusted first point of contact, you will coordinate works, manage information, and support the smooth running of your portfolio.

Working closely with experienced Property Managers, contractors, and on-site teams, you will turn plans into action, keep stakeholders informed, and ensure compliance is never compromised. You’ll learn our standards and systems quickly and use them to create consistent, reliable outcomes for the buildings and communities you support.

ROLE EXPECTATIONS

You will be the engine room of day-to-day management: coordinating repairs and maintenance, tracking actions, responding to resident queries, and keeping accurate records. You’ll prepare reports, update budgets and invoices, and help organise inspections and meetings. Most days will involve prioritising tasks, communicating clearly, and following issues through to resolution.

  • Maintenance issues are triaged promptly, with clear actions, timelines, and updates.
  • Records, invoices, and compliance documents are up to date, accurate, and easily accessible.
  • Meetings, inspections, and contractor visits are well-planned and documented with timely actions.
  • Risks are spotted early and escalated appropriately, with practical solutions proposed.
  • Your portfolio runs smoothly, with service standards met and deadlines consistently achieved.

How You'll Spend Most Of Your Time

  • Logging, prioritising, and progressing maintenance requests with contractors and site teams.
  • Responding to resident and client queries via phone and email, providing clear, timely updates.
  • Supporting budget monitoring, invoice processing, and basic financial administration.
  • Scheduling and preparing for inspections, meetings, and site visits; drafting agendas and minutes.
  • Maintaining accurate records, action trackers, and compliance documentation in our systems.
  • Liaising with suppliers to obtain quotes, raise work orders, and ensure quality and SLA adherence.

  • Working knowledge of coordinating repairs, contractors, or service providers.
  • Exposure to budgets, invoicing, or basic financial processes.
  • Using property management or CRM systems and keeping meticulous records.
  • Handling resident or customer queries and resolving issues diplomatically.
