Assistant to Head of Operations
About the Role
Join our Operations department in Stonehouse, Gloucestershire.
We are seeking an Assistant to the Head of Operations to support the Head of Operations and the wider Operations Team (comprising 8 professionals). This standalone role involves a variety of administrative, clerical, and office duties, offering opportunities to shape the future within a dynamic team.
Available as a full-time, fixed-term position (12 months). Based in Stonehouse, Gloucestershire, with working hours of Monday to Thursday – 7.10 AM to 4.10 PM, Friday – 7.10 AM to 12.00 PM. Our site manufactures plastic components and single-use products, including lab scale bioreactors and filtration.
Responsibilities
Administrative & Operational Support
- Manage frontline reception duties at Sperry Way Facility, including:
- Telephone call handling
- Intercom management
- Post and meeting minute recording
- Provide administrative support to the Operations Team, covering:
- Preparation of PowerPoint presentations
- Photocopying
- Scanning
- General office duties
Coordination & Scheduling
- Generate and maintain a weekly schedule for senior managers on:
- Travel plans
- Visitor arrangements
- Support travel plans and hospitality for:
- Head of Operations
- Visitors to Sartorius Stedim Lab
- Manage the Head of Operations’ diary by:
- Scheduling and prioritising meetings
- Processing expense claims
Maintenance & Procurement
- Monitor and enforce the Maintenance Schedule, ensuring completion within specified deadlines
- Support staff in implementing schedules through:
- Booking and liaising with contractors
- Order and manage:
- Company PPE
- Uniforms
- Specialised workwear (e.g., safety boots, work shoes)
- Accurate record-keeping of purchased items
- Liasie with suppliers for indirect orders and:
- Process orders using Wescale

Training & Events
- Coordinate external training sessions for the Operations Team
- Organise company social events, including:
- Summer BBQ
- Christmas Hampers
- Long Service Awards
- Booking contractors and scheduling attendees
Compliance & Quality Management
- Assist in the internal audit process by:
- Training as an Internal Auditor
- Provide Branding and Marketing support for the site through:
- Sartorius Branding and Marketing training
- Operate within:
- Quality system requirements
- ISO 9001, 13485, 14001
- Regulatory IVD (In Vitro Diagnostics) compliance
- Good documentation practices
Requirements
Ideal Candidate Will Have:
- Previous experience as a:
- Receptionist
- Administrative Assistant
- PA/Executive Assistant (EA)
- Ability to operate autonomously, with minimal daily supervision
- Strong ability to:
- Communicate effectively across diverse stakeholders
- Prioritise tasks while managing multiple responsibilities
- Proficient in Microsoft Office: Email, calendar, and Word, Excel, PowerPoint
- Professional telephone manner with excellent customer service skills
- High level of discretion for handling sensitive/confidential information
- Ideally, experience with:
- Regulatory compliance (ISO 14001, 45001, 9001)
- Exceptional attention to detail
