About the Role
The Assistant Workplace Services Manager is a key position within the Workplace Service Delivery Team, reporting directly to and supporting the Workplace Manager.
You will be responsible for first-line engagement with workplace service suppliers, contractors, and stakeholders, ensuring smooth management of daily workplace services across designated property portfolios. Your role will include:
- Customer and stakeholder relations – Handling proactive and reactive management of workplace services, resolving complex issues, and ensuring compliance.
- Service and supplier management – Overseeing service delivery to meet agreed standards, including housekeeping, maintenance, Health & Safety (H&S), and value-for-money standards.
- Issue resolution – Actively resolving complaints from client organisations or internal helpdesk queries and escalating issues early where necessary.
- Resource and capital project oversight – Managing rechargeable works (e.g., reactive, new works) and supporting the definition/development of major capital projects.
- Supplier performance monitoring – Ensuring service standards are continually met while fostering strong partnerships.
This role is critical to delivering GPA’s “Great Places to Work” strategy, promoting efficiency and driving continuous improvement.
Key Responsibilities
- Daily service delivery management: Oversee suppliers’ performance and correct any deficiencies as required.
- Site management: Conduct site visits as needed and support/audit foul/site quality of premises under your responsibility annually.
- Issue resolution: Tackle customer complaints and escalate challenges to senior management when appropriate.
- Cost and project management:
- Manage rechargeable works outside fixed-price contracts, ensuring effective spending and accurate reporting.
- Work with stakeholders for clarity on conversions, upgrades, and high-value purchases.
- Representativeness: Deputise for the Workplace Manager as needed.
- Additional support: Execute any authorised for-the-business tasks as required by management.

Skills & Experience
Essential Requirements
- Customer service excellence: Ability to analyse customer feedback and continuously improve service delivery.
- Workplace/facilities management experience: Hands-on knowledge of maintenance, logistics services, and supplier management in a corporate environment.
- Stakeholder and supplier relations: Excellent communication, confidence in engaging with customers, contractors, and service providers.
- Performance tracking: Ability to assess service quality confidently, troubleshoot problems, and implement incremental improvements.
- Organisational skills: Strong prioritisation with the ability to deliver at pace under pressure.
- Commercial awareness: Knowledge of supplier contracts, procurement standards, and H&S requirements.
Desirable Qualities
- Innovation: Proven track record of identifying opportunities to drive value-added solutions.
- Cross-functional collaboration: Experience working in a matrix-organised environment—cooperating across departments.
- Leadership: Ability to guide workplace-related teams including hard/soft FM, security, ICT, and community engagement.
Technical Qualifications
- Essential:
- A professional qualification (e.g., from IWFM) or a commitment to pursue one.
- Ability to demonstrate continuous professional development in property or facilities management.
- Certification or intent to complete the Contract Management Capability Programme (CMCP) Foundation training.
