Role Overview 📝

This is a force multiplier role. You will sit within the CEO Office, reporting into and working closely with the Chief of Staff. Where the Chief of Staff asks “are we focused on the right things?”, you are asking “how do we ensure this gets done?” In practice this means owning the operational lift, running cross-functional projects, refining and maintaining our company operating rhythm, preparing materials that keep teams aligned, and clearing the path when things stall. Alongside this, you’ll work closely with the CEO and Chief of Staff to drive cultural initiatives forward, champion our employee value proposition and help HIVED continue to be a place people are proud to work. This role is a genuine door opener into the heart of a fast growing startup - with broad exposure, real ownership from the outset and a clear path to more senior roles at HIVED. What you’ll be doing 🚀

Company Operating Rhythm

  • Work with CoS to continuously improve the cadence that keeps HIVED aligned - from All Hands and leadership meetings, to Monthly Business Reviews and quarterly planning cycles.
  • Draft company wide communications and strategic materials - from change management announcements to strategy-on-a-page summaries, you’ll help ensure comms are written for clarity and always tailored to their audience.
  • Support in managing the external board meeting cadence, coordinating materials across the business and ensuring the narrative is coherent, accurate and delivered on time.
  • Help design and manage executive offsite agendas, balancing strategic focus with the relationship-building that matters in a fast-growing startup.
  • Contribute to quarterly goal setting - coordinating the OKR process at the company level, ensuring team objectives cascade meaningfully from company priorities, and ensuring that tracking is measurable and actionable.

Cross-Functional Support & Execution

  • Act as a first point of contact when exploring new opportunities or challenges, providing structured analysis, insight and information from which to execute.
  • Help connect the dots between teams and workstreams, surfacing risks and dependencies before they become blockers.
  • Coordinate cross-functional projects, clarifying roadmaps and milestones, running meetings and tracking actions to keep momentum and ensure nothing falls through the cracks.

People & Culture

  • Support on organisational design work e.g. project managing executive hiring processes, working with internal stakeholders on job specs, interview design, candidate experience and onboarding.
  • Work with the People and Finance teams to improve key people processes, whether performance management frameworks or equity philosophy, in order to support a high performance culture.
  • Work with the CEO Office to plan and execute company-wide events such as HIVED Day, designing experiences that build connection, communicate direction and leave people energised.
  • Develop and run initiatives that strengthen our employee value proposition, whether that be speaker programmes, lunch and learns or team gatherings, working closely with the CEO to deliver on her vision.

What we’re looking for 🔎

  • 1-5 years experience in a generalist, operations or founders associate role - ideally in a high growth startup. You understand what it means to operate in a fast moving environment.
  • Energised by ambiguity rather than intimidated by it - you do not need a detailed brief to get started and are comfortable figuring things out as you go.
  • Exceptional written and verbal communication - you are able to write clearly and concisely, adapting the tone and format to different audiences. You understand that a well crafted document or well run meeting can move things forward fast.
  • Ruthlessly organised & reliable - you can manage multiple workstreams without things slipping, know what to prioritise versus what can wait, and are someone people trust to follow through.
  • High EQ - you are able to build trust quickly across diverse stakeholders, can read a room, understand different perspectives and know when to push and when to listen.
  • Attention to detail - you care about the quality of your work and hold yourself and others to a high standard.
  • Low ego - you are comfortable operating behind the scenes. You find satisfaction in the work itself and in seeing things land well, regardless of who gets the credit.
  • A team player - you are naturally collaborative and gravitate towards working with others, building relationships quickly and bringing people with you, rather than working around them.
  • Adaptable - you are comfortable with change, energised by pace and genuinely curious about how things work and how they could be better.
  • AI proficiency - familiarity with AI and low code tools is a must. You approach problems with an automation mindset, reaching for tools like Make, Airtable or AI to work more efficiently, rather than defaulting to manual processes.
