Associate Producer

Production Assistant – Zest Creative Agency

About the Role

As a Production Assistant at Zest Creative Agency, you will play a vital role in ensuring seamless Marcom production operations. Working closely with Shoot Producers, Studio Teams, and key stakeholders, you will support the execution of high-quality content for Sainsbury’s, Argos, Tu, and Habitat by managing sample coordination, pre-production logistics, and on-set support.

Reporting to the Senior Shoot Producer, your work will contribute to operational efficiency while upholding creative excellence—supporting the agency’s vision for continued success.


Key Responsibilities

1. Sample Coordination

  • Manage the organisation, tracking, and preparation of samples required for photo and video shoots.
  • Ensure samples are on time, in excellent condition, and aligned with production requirements.
  • Proactively communicate with teams to resolve issues, escalate delays, and maintain accurate inventory records.

2. Shoot Planning & Coordination

  • Collaborate with Shoot Producers to plan and execute shoots, including location bookings, schedules, and resource management.
  • Liaise with production teams and stakeholders to ensure all elements of the shoot are accounted for.
  • Provide on-site support to maintain smooth operations.

3. Production Administration

  • Handle admin tasks: creating call sheets, booking couriers, and arranging travel/accommodation for crew and talent.
  • Ensure all production documents and schedules are up to date and accessible to relevant teams.

4. Stakeholder Communication

  • Support clear, professional communication between internal teams and external vendors (e.g., stylists, photographers, clients).
  • Build and maintain strong relationships with Zest stakeholders to ensure requirements are met.

5. Budget & Expense Tracking

  • Assist in tracking costs, reconciling budgets, and maintaining records for production expenses.
  • Identify cost-saving opportunities and ensure financial processes are followed.
  • Manage all cash payments and receipts for shoots (sundries, catering).

6. Troubleshooting & Problem Solving

  • Act as the key point of contact for resolving logistical or operational issues.
  • Escalate significant challenges to Shoot Producers/Senior Executive Producers while addressing minor issues proactively.

7. Health & Safety Compliance

  • Ensure all shoots adhere to health and safety protocols, including risk assessments.
  • Monitor on-set safety, addressing hazards to maintain a secure working environment.

8. Team Collaboration

  • Work with Shoot Producers, Post-Production, and Creative Teams to ensure seamless content delivery.
  • Participate in team meetings and planning sessions, contributing ideas and insights.

9. Brief Management

  • Take end-to-end responsibility for smaller briefs (with support) and progressively oversee more complex productions.
  • Plan, organise, and implement shoots, covering:
    • Shoot flow & timings
    • Studio/location assessment
    • Model and equipment sourcing
    • Resource coordination
    • Content supply

Requirements

Essential Skills & Experience

✔ Production Experience: Familiarity with agency/studio workflows in pre-production and on-set support. ✔ Technical Knowledge: Awareness of tools like Excel, project management platforms, or inventory systems. ✔ Creative Industry Background: Prior work with photographers, stylists, or production teams. ✔ Process Improvement: Ability to identify inefficiencies and propose streamlined workflows.
