Aviation Vetting Officer

Aviation Vetting Officer – Permanent

Vacancy Reference: 4897 Location: Slough – with regular travel across the UK (key airport sites) Hours: Full-time (Monday–Friday) Salary: £32,000–£34,000 per annum (DOE)


About the Role

We seek a meticulous Aviation Vetting Officer to oversee end-to-end pre-employment clearance, ensuring CAA compliance, airport authority standards, and adherence to Wilson James policies across our aviation workforce.

This critical role combines vetting expertise, security governance, and administrative support to safeguard workforce mobilisation. You’ll handle sensitive data with confidentiality while maintaining high operational efficiency.


Key Responsibilities

  • Conduct procedural vetting for new/existing employees, aligning with:
    • Wilson James procedures
    • CAA regulations
    • ID pass requirements
  • Manage background checks via Vetting Gateway, including:
    • DBS checks
    • GSATs (Governing Security Authorities & Trustees)
    • CRC (Criminal Records Checks)
  • Act as an Authorised Signatory for Heathrow and other aviation sites
  • Coordinate ID pass management, Security Interviews, and ID Centre appointments
  • Clear applicant queries via Vetting Gateway, track references, and resolve exceptions
  • Support new airport contract pass scheme onboarding
  • Maintain audit-ready records ensuring compliance with governance standards
  • Provide data-driven reporting and administrative backing to senior stakeholders
  • Subject Matter Expert (SME) status for:
    • Vetting/Gateways systems
    • GDPR/data protection principles
  • Conduct system housekeeping, including regular updates

Essential Requirements

  • Exceptional attention to detail
  • Strong GDPR/data protection knowledge
  • Proficiency in Microsoft Office + digital vetting/administrative systems (e.g. Vetting Gateway)
  • Clear communication skills (both written and verbal)
  • Professional administrative experience

Desirable Qualifications

  • Prior Authorised Signatory authority (aviation/pre-employment vetting)
  • Aviation vetting/CAA regulations familiarity
  • Secured background in regulated industries.
  • Proven equality & diversity awareness
  • Fast-paced/regulated environment experience
