Receptionist – Customer Care & Administrative Support
About the Role Assist Birmingham and Solihull Mental Health NHS Foundation Trust by providing professional customer service and frontline administrative support. Responsibilities include handling Service User Queries, managing telecommunications, maintaining accurate records, and ensuring confidential data handling in compliance with legislation, policies, and data protection procedures.
Key Responsibilities
Customer Service & Query Handling
- Provide a professional and consistent service to:
- GPs
- Patients
- Patrons' representatives (in-person, telephone)
- Ensure all interactions comply with legislation, policies, and confidentiality requirements
- Sourced relevant supporting information to resolve queries effectively
- Escalate complex queries to the appropriate department or staff member

- Take clear and accurate written messages and log initial communication details
Administrative Duties

Operate Microsoft Office and word processing tools to produce and format faxes, letters, tables and reports

Daily use of Outlook for:
- Email correspondence (sending and receiving)
- Booking and managing meeting rooms
- Equipment reservations

Conduct routine clerical tasks, including but not limited to:
- Filings and photocopying
- Data entry for administrative records
- Patient demographic validation and updates
- Ad hoc notice production (using software)

Offer a proactive telephone answering service:
- Manage calls for internal members of the Locality Team
- Direct calls systemically to appropriate team members
- Transfers or logs messages in an accurate and timely manner
