Job Summary

An exciting opportunity has arisen for a highly organised and motivated Medical Secretary to join the Liver Medicine team at Queen Elizabeth Hospital Birmingham on a 12-month Secondment/Fixed-term basis. This role provides essential administrative and secretarial support to a busy and dynamic clinical service, contributing to the delivery of high-quality patient care.

The successful candidate will be responsible for managing clinical correspondence, including the accurate typing and timely distribution of clinic letters and reports, as well as coordinating consultant diaries and supporting clinic administration. Acting as a key point of contact for patients, GPs, and multidisciplinary teams, the postholder will handle enquiries professionally and efficiently, ensuring a high standard of customer service.

Working within a fast-paced environment, you will support patient pathway management, helping to ensure patients progress through their care in a timely manner in line with NHS targets. This role requires excellent organisational skills, strong attention to detail, and the ability to prioritise workloads effectively while maintaining strict confidentiality at all times.

This is an excellent opportunity for an experienced administrator looking to develop their skills within a specialist and supportive clinical service.

Main Duties, Tasks & Skills Required

The postholder will provide comprehensive secretarial and administrative support to the Liver Medicine clinical team, including the accurate typing, formatting, and timely distribution of clinic letters, discharge summaries, and other clinical correspondence. They will manage consultant diaries and act as a key point of contact for patients, relatives, GPs, and the wider multidisciplinary team, handling enquiries in a professional and confidential manner. Responsibilities include uploading clinical correspondence to the Trust's clinical portal, scanning and indexing documents to ensure they are correctly recorded within electronic patient records, and maintaining high standards of data quality. The postholder will also support patient pathway tracking and waiting list management to aid timely progression of care in line with NHS targets, prioritising workload effectively within a busy environment to support the delivery of a safe and efficient service.

Qualifications

Essential

  • Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4
  • Business Administration NVQ level 3 or equivalent experience in a clerical environment

Desirable

  • AMSPAR Certificate/equivalent qualification or equivalent knowledge of medical terminology

Experience

Essential

  • Experience of dealing with the Public/Customer service experience
  • Experience of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
  • Experience of using IT systems

Desirable

  • Experience of working in a busy environment
  • Experience of working in Healthcare
