Job Summary

The Project Research Administrator will be a member of the National Institute for Health and Care Research in Device, Digital and Robotics (HRC-DDR) team and will act as the first point of contact for all enquiries/queries to the NIHR HRC-DDR delivery team. The post holder is expected to develop a full understanding and overview of the team's workload including all research applications and studies, managing a research email account, telephone calls, and organising meetings. The post holder will work under the direction of the Programme Managers, Portfolio Manager, and Project Research Officers, undertaking specific administrative duties, and handling sensitive data to meet local UHB and NIHR requirements. The post holder will work closely with colleagues across the research infrastructure contributing to the management and administration of study feasibility, set-up & delivery. It is essential that the post holder exercises initiative and judgement using acquired skills and knowledge, maintaining confidentiality at all times. This job role will involve close co-ordination with key stakeholders (internal and external HEI, NHS, commercial), clinical and academic staff.

Main Duties, Tasks & Skills Required

The Project Research Administrator will:

  • Manage a busy and demanding "Research" email account, acting as a first point of contact for all enquiries/queries.
  • Arrange meetings, taking formal minutes, confirming attendance, and receiving apologies where appropriate, and ensuring follow-up of actions and appropriate reporting.
  • Organise booking of meeting rooms and preparation of rooms for meetings, including catering where necessary.
  • Take personal responsibility for auditing administrative systems within the remit of the post, in the light of good office practice to ensure they remain responsive and efficient.
  • General administration duties to support the research team including coordinating phone calls; general filing; printing; requesting, obtaining, and tracking study materials; maintaining up-to-date contact/circulation lists.
  • Coordinate the archiving of study documentation, notifying all departments and research team members of study closure and preparing essential documentation.
  • Compile and input data using specific formatting techniques into the appropriate database systems.
  • Work with the HRC-DDR team to adapt and improve the local research processes and maintain current knowledge of NIHR HRC processes.
  • Support and contribute to relevant research projects as appropriate under supervision of the project research officer.

Person Specification

Qualifications

Essential

  • Good General Education (e.g. GCSE English and Maths A-C GCSE LEVEL 9-4)
  • Educated to NVQ level 3 in a health-related discipline or equivalent relevant experience.
  • Knowledge of administrative procedures, including specialised IT systems and project management, acquired through formal training or equivalent relevant experience.
  • Evidence of continuous professional development.

Experience

Essential

  • Previous experience of supporting projects in a research or healthcare context (University/NHS).
  • Good understanding of principles of good clinical practice (GCP)
  • Experience of dealing with the Public/Customer service experience
  • Experience of working in an administrative role with a proven track record of problem-solving
  • Evidence of a methodological approach and effective organisational skills
  • Comprehensive understanding of the importance of confidentiality and information governance.
