Job Summary
An exciting opportunity has arisen for an enthusiastic and motivated member of staff to join our Research and Innovation (R&I) Department at University Hospitals Birmingham.
We are looking to recruit a Band 4 Research Secretary / PA to provide comprehensive secretarial and administration support to the senior leadership team within the RD&I Department.
The successful candidate will be based on site within the Institute of Translational Medicine (ITM) at QEHB. The post holder is required to work effectively with all members of the team to support the effective and smooth running of the department.

Main Duties, Tasks & Skills Required
This role requires experience in complex diary and inbox management for the Senior RD&I Team.
- Drafting meeting agenda's
- Organising room bookings for meetings
- Formatting and distributing meeting papers
- Accurate formal minute taking
- Providing administrative support for local, divisional and national meetings
- Organising travel, hospitality and accommodation
- Use of Finance systems for ordering and processing payments
- Booking rooms for research teams, Site visits and Audit Monitoring
- Inbox monitoring and escalation of urgent matters and deadlines
This role will require an individual with excellent organisational and communication skills, effective time management, and the ability to work with minimum supervision. Also required is experience in all Microsoft packages.

Qualifications
Essential
- Good General Education (e.g. GCSE English and Maths A-C GCSE LEVEL 9-4
- Business Administration NVQ level 3 or equivalent experience in an Administrative environment
Experience
Essential
- Experience of dealing with the Public/Customer service experience
- Experience of working in a Secretarial/ Administrative role with a proven track record of problem solving
- Experience of dealing with the Public/Customer service experience
- Good Organisational skills
- Able to use own initiative and deal with the unpredictable
- Able to work under pressure and to multi-task
- Able to work to deadlines
