Site Co-ordinator – Green Lane Hospital (30 hours per week, 5 days)
We are seeking an enthusiastic, well-motivated, and experienced individual to fills the role of Site Co-ordinator at Green Lane Hospital. You will lead a well-established team of receptionists and administrators across three key locations: Green Lane Hospital, Shearwater Lodge and Hathaway Chippenham.
About the Role
The successful candidate will:
- Serve as a strong team player, co-ordinating reception and administrative support across three sites
- Organise cover for receptions (or step in at short notice) both as a management lead and frontline support
- Provide managers with operational oversight while overseeing day-to-day front-of-house operations
Key Responsibilities
This role demands a blend of administrative expertise, stakeholder liaison and people management. Key tasks include:
Team Leadership & Frontline Support
- Supervise and provide support to a team of receptionists in three diverse locations
- ensure compliance with safe systems of work through risk assessments and protocol reviews
- Lead on absences and cover arrangements, requiring readiness to deploy flexibly at short notice
- Maintain enhanced customer service by handling face-to-face and telephone enquiries efficiently
Support Functions
- Manage diary and rostering for all teams, ensuring FM sign-offs and compliance
- Operate an electronic room booking system and generate scheduled reports (including analysis)
- Liaise with Facilities Management (FM) and external site contractors
- Oversee inductions, monitor project status
- Address operational issues collaboratively with broader FM teams
- Provide cashier and financial communities in managing receipts, payments, and service charges

Risk & Compliance
- Collaborate on health and safety risks assessments to ensure safe environments
- Review requests and performance audits for service delivery improvements
Organisational & Spatial duties
- Working across two NHS regions (BaNES-Swindon-Wiltshire and Bristol West/North Somerset/Glos) covering 90+ sites across 2,200 miles of local area across our 1.8m service catchment.
Role Requirements
Experience & Qualifications
- Proven leadership in a hospital or people-facing setting, particularly in admin and operations
- Background in receipt/finance management preferably within a non-clinical NHS environment
- Prior contract/SLA experience in health or facilities management
- Right to Work in the UK (Skilled Worker visa sponsorship not available)
Soft Skills
- Exceptional emotional resilience, handling complex multi-site issues cheerfully
- Excellent communication skills with both staff and visitors
- High turnaround disciulpine: organisatino fontsal skills to coordinate bookings, complaints and schedules with clarity
- Experience with NHS staff rosters, especially within Multi-Specific sites
