Medical Records Administrator (Bank/Zero Hours)
Location: Spire Murrayfield Hospital, Wirral Hourly Rate: £12.76 per hour Contract Type: Bank/Zero Hours Flexible Working: Shifts between Monday–Friday (8:00 AM–6:00 PM), with occasional weekends
About Spire Healthcare & the Role
Spire Murrayfield Hospital is a state-of-the-art private healthcare facility delivering fast access to specialist consultations, advanced diagnostics, and high-quality aftercare. As a Medical Records Administrator, you’ll play a pivotal role in maintaining efficient and secure case note management—ensuring timely retrieval, accurate filing, and GDPR-compliant handling of patient information.
Contract Summary:
- Work on-demand with flexible shifts to cover busy periods, sickness cover, or annual leave.

Key Responsibilities

Case Note Tracking & Filing:
- Use Trackfile to log and monitor the movement of case notes between departments.
- Organise and file documentation to guarantee a fast, accurate retrieval service for clinicians, wards, and clinics.

Patient Information Management:
- Extract and forward case notes, ensuring timely bookings and proper handovers (either physical or electronic).
- Maintain case note folders per agreed standards, updating files and merging inactive sets as required.

Record Retention & Compliance:
- Audit attendance logs, dates, and alert sheets against the Patient Administration System to assess disposal or off-site storage eligibility.
- Ensure evidence files are complete, current, and structured for inspection—following up on missing documents and collaborating with off-site storage teams.

GDPR & Data Protection:
- Handle patient information confidentially, adhering to GDPR, the Data Protection Act, and Spire’s policies.
- Communicate accurate records between wards, clinics, and offices while protecting sensitive data.
Person Specification: Who We’re Looking For
- Education: A good standard of secondary education with proven literacy and numeracy skills.
- Experience:
- Previous role in clerical, medical, or customer service environments, preferably with officetype record management.
- Hands-on knowledge of GDPR and data protection laws.
- Technical Skills:
- Proficiency in IT/computer systems, including word processing, databases, or hospital software.
- Soft Skills:
- Exceptional interpersonal and communication skills—both written and telephone-based (able to interface with diverse medical teams).
- Progressive team player with adaptability to high-pressure environments.
