We are looking for a professional, organised and customer-focused Bank Medical Secretary Administrator to join our Bristol Hospital team. This is an excellent opportunity for someone with strong administrative and secretarial skills who thrives in a fast-paced environment and enjoys providing first-class support to a variety of stakeholders.
As a Bank Medical Secretary Administrator, you will play a key role in supporting our consultants and hospital departments by delivering high-quality administrative and secretarial services. You will be responsible for coordinating clinics, managing correspondence, maintaining accurate records and ensuring patients receive an excellent experience throughout their journey.
This role requires exceptional organisational skills, attention to detail and the ability to prioritise a varied workload while maintaining professionalism and confidentiality at all times.
As our Bank Medical Secretary Administrator, you will:
- Provide comprehensive secretarial and administrative support to consultants and hospital departments.
- Manage clinic bookings, appointments and diary schedules, ensuring efficient use of time and resources.
- Prepare, process and distribute correspondence, reports and medical documentation accurately and within agreed timescales.
- Handle telephone, email and face-to-face enquiries from patients, consultants and colleagues in a professional and courteous manner.
- Maintain accurate patient records and update hospital systems in line with information governance and data protection requirements.
- Support the management of referral pathways and consultant clinics, ensuring all documentation is available and completed appropriately.
- Assist with invoicing and consultant practice administration where required.
- Coordinate meetings, prepare agendas and maintain records and minutes when necessary.
- Ensure all administrative processes are completed to a high standard, supporting excellent patient outcomes and customer service.
- Manage competing priorities effectively while working within a busy healthcare environment.
- Build positive working relationships with clinical and administrative teams across the hospital.

The Person
To succeed as a Bank Medical Secretary Administrator, you will be highly organised, adaptable and committed to delivering exceptional service. You will be comfortable managing multiple tasks, maintaining accuracy under pressure and communicating confidently with a wide range of stakeholders.
You will also have:
- Previous medical secretary, administration or healthcare support experience, ideally within a healthcare setting.
- Strong secretarial and administrative skills, including diary management, correspondence and document preparation.
- Audio-typing experience (desirable).
- Knowledge of consultant billing and invoicing processes (desirable).
- Excellent attention to detail and a commitment to maintaining accuracy and confidentiality.
- Strong verbal and written communication skills.
- Excellent customer service skills and a professional, approachable manner.
- GCSE English and Maths (Grade C/4 or above) or equivalent.
- Strong IT skills, including experience using Microsoft Office applications such as Word, Outlook, Excel and Teams.
- The ability to manage a busy and varied workload while meeting deadlines.
- Experience working within an administrative, customer-facing or healthcare environment
