About the Role
Are you detail-oriented with a passion for safeguarding employee satisfaction through seamless payroll and benefits management? We’re seeking a proactive, customer-focused Payroll & Benefits Administrator to:
- Ensure accurate, compliant, and timeous payroll distributions for three payroll schedules (2x monthly + weekly).
- Act as the trusted single point of contact for employees, managers, and external providers regarding payroll and benefits.
- Drive process improvements to optimise benefits delivery across the forensic services business line.
Your work directly contributes to employee trust and operational efficiency—assuming ownership over payroll lifecycle, benefits management, and HR support functions in a dynamic environment.
Key Responsibilities
Payroll Administration
- Process & submit payroll for two monthly runs and one weekly run, via our third-party outsourced provider (beyond handling 20+ payroll events):
- New starters (HMRC New Starter Checklists, P45s)
- Salary/allowance updates and contractual changes
- Leavers (final pay, holiday accruals, PILONs, redundancy settlements)
- Zero-hours and variable pay structures
- Bonus and incentive execution (annual/ad-hoc)
- Overtime and on-call pay calculations
- Unpaid leave and sickness graduation
- Parental leave scenarios (Maternity, Paternity, Adoption, Shared Parental, SAPL)
- Statutory notices and statutory payments (SSP, SMP)

Reconciliation & approvals:
- Lead the monthly payroll checking process, collaborating with senior leadership and finance, to validate payroll accuracy before submission.

Customer service & escalation:
- Address and resolve payroll-related queries, escalating unresolved issues to the third-party provider when required.
- Support HMRC and PwC audits by compiling requested payroll records and data.
Employee Lifecycle & Records Management

Coordinate HR-Payroll interdependencies for:
- Philip set-up (including benefits enrolment)
- Leaver processing (final payment settlement, benefits cancellation, recovery of outstanding balances)
- Contractual variations affecting pay and benefits levels

Maintain immutable and accurate records across HRIS systems (e.g. PeopleSoft), cross-referencing payroll documents with employee records.

Serve as first-line support for both payroll queries and benefits concerns via shared HR inboxes.

Sickness protocols:
- Log, monitor, and file sickness notifications, medical certificates and entitlement triggers (e.g. STAT, half-pay, absence escalations).
Benefits Administration

Pioneering employee rewards across our forensic business line:
- Manage and promote benefits platforms (e.g. Reward Gateway, Perkbox, Benenden).
- Oversee pension auto-enrolment compliance (including administrative approvals).
- Administer salary sacrifice schemes (pension, health cash plans) and ensure payroll deductions align with all regulatory obligations.

Offer employee benefits education, honing employer branding through transparent communication e.g. annual renewal campaigns.

Liaise with external vendors to ensure timely issue resolution and maintain contractual service standards.

Accurately collect P11D and PSA data for employer reporting to HM Revenue & Customs.
Additional Duties
- Process third-party vendors’ invoices and act as interim HR generalist approximately.
- Ad hoc administrative backfill for the HR team as required.
Required Qualifications
Essential
- Proven in-house or outsourced payroll administration experience (demonstrated capability in various sectors).
- High-level knowledge of UK payroll laws (PAYE, National Insurance, statutory payments).
- Administered employee benefits and pension schemes previously, supporting auto-enrolment and other perks.
- Exceptional accuracy and meticulous attention to detail (exceptionally critical for payroll errors).
- Proficiency with HRIS, payroll and benefits systems across employer lifecycle phases.

Desirable (Strengthens Candidacy)
- Payroll/HR professional certification (CIPP, CIPD).
- Experience supporting multiple business units or legal entities with disparate compliance layovers.
- Hands-on experience with platforms like Reward Gateway and/or Perkbox.

Sensitive Vetting Requirement
Due to forensic service obligations, this position requires a issued NPPV3 Police Security Clearance + level. To qualify, a minimum 5 continuous years of UK residency will apply.
Note: The security processing involves:
- Criminal background action checks via police vetting.
- Financial and family/associate history questionnaires.
- Potential random drug/alcohol tests during employment.
Results are holistically assessed. Honest declaration throughout the process is non-negotiable.
