**administrative Support Assistant (Temporary) Location: Belfast Health and Social Care Trust (HSCT), Administration Building (K) Salary: £38,682 – £46,580 (Band 6) Contract: Temporary Closing Date: Tue, 14 July 2026 @ 4:30 PM Starting Date: 29/06/26
About the Role
The successful candidate will support operational functions across the Belfast HSCT, working within a dynamic and inclusive environment. This role is essential to the smooth running of administrative services, ensuring high standards of professionalism and efficiency.
Job Duties (Key Responsibilities)
- Provide frontline administrative support, including file management, appointment scheduling, and communication coordination, to ensure internal and external queries are handled efficiently.
- Operate core administrative systems, including document management software, financial recording tools, and patient/HR databases with accuracy.
- assist with clerical tasks such as typing, proofreading, and handling correspondence on behalf of senior staff where appropriate.
- Monitor and escalate administrative issues to ensure adherence to clinical and departmental procedures.
- Collaborate with cross-sectional teams to streamline workflows and maintain HSC policies, Health Service Executive (HSE) protocols, and data protection regulations (e.g. GDPR/HGDPR).
- Maintain a high level of confidentiality and discretion at all times, in line with trust-wide data protection measures.
- Provide a first-line support point for staff, ensuring queries are addressed promptly and professionally.
- Help maintain a welcoming, supportive, and accessible administrative environment, adhering to HSC’s Diversity and Equality commitments.

Ideal Candidate Profile
Successful applicants will typically demonstrate:
- Certified NVQ Level 2 or equivalent in Business Administration, Medical Secretarial, or related sectors (or relevant experience; qualifications will be considered in lieu).
- Proven experience in a help-desk, receptionist, or executive administrative capacity, preferably in a healthcare, government, or corporate setting.
- Strong organisational abilities, with a commitment to time management and prioritisation in a fast-paced environment.
- Technical proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and adaptability with specialist software.
- Excellent communication and interpersonal skills with the ability to maintain professional diplomacy in both written and verbal interactions.
- A commitment to confidentiality and data security, including disclosure outcomes in line with Trust policies.
- Familiarity with HSE governance frameworks, Scottish healthcare policies, and NISV practice guidance (optional but beneficial).
Eligibility & Criteria
- Recruits should possess safe working rights in the UK and be able to provide proof of valid ID/relevant immigration status for pre-employment checks.
- As a general rule, applicants should either be under the age of 66 (as per NHS/HSC pension eligibility) or meet exceptions as outlined in the Rules of the HSC Pension Scheme.
