Full-Time Equivalent Salary: £32,080 to £33,002 per annum, + progression to £34,610
Hours: Part-Time: 18.5 hours per week Contract: Fixed-term (12 months)

About the Role
Newcastle University seeks a Support Administrator for its Innovation and Commercialisation team, based in the Business & Innovation Office (B&I). In collaboration with colleagues, this role will focus on:
- Managing and supporting the tendering process (including registrations to tendering portals)
- Assisting in the preparation of tender proposals via the collation of diverse University resources
- Providing consultancy and administrative support in compliance with contractual and ethical governance
- Third-party partnership liaison, stakeholder engagement, and process development
The role is designed as a secondment opportunity and encourages flexible working arrangements such as shared assignments.

Key Responsibilities
Commercial/Innovation Project Support
- Manage the University’s tendering portal registrations—ensuring submissions are accurate, timely, and aligned with deadlines.
- Develop an internal database enabling efficient portal registrations via collated cross-departmental data.
- Assess upcoming opportunities (horizon scanning) and track potential registration needs.
- Support the development and submission of tender proposals, including data-driven evidence collection and pricing models.
Consultancy & Administrative Coordination
- Administer economic costing and provide pricing guidance to consultancy departments.
- Liaise with the University’s Legal team to ensure compliant contractual agreements.
- Represent internal/external stakeholders and advocate University interests in commercial partnerships.

Process & Knowledge sharing
- Engage in stakeholder dialogue, events, and awareness-raising initiatives (i.e., internal University briefings).
- Maintain clear records in University systems in relation to assigned commercial activities.
- Use analytical skills to forecast needs, produce reports and present insights to inform decision-making.
- Troubleshoot, refine, and inform enterprise policies and procedures, including governance/ethical compliance.
Cross-Disciplinary Collaboration
- Provide pro-active administrative support across both B&I operations and Broader Newcastle Innovations team.
- Work with Faculty staff and Central Services to ensure seamless project execution.
Requirements
Essential Skills & Experience
- Basic grounded knowledge of commercial/innovation concepts in a university setting.
- Demonstrated ability to:
- Conduct analyses and compile clear reports/documents.
- Collaborate cross-departmentally for efficient processes (including maintaining complex data sets).
- Communicate effectively both verbally and in writing.
- Strong teamwork and problem-solving skills, plus the enthusiasm to support the University’s knowledge exchange goals.
- Ability to prioritise workloads and meet tight deadlines in a demanding environment.
- Experienced in internal University processes, with the capacity to build and maintain relationships at all levels (internal team/senior managers/external partners).

Required Qualifications
- Minimum of A Level equivalent education.
- Excellent literacy and numeracy skills to handle document/financial preparation.
