Bid Coordinator
Are you an experienced Bid Coordinator looking for your next opportunity to make a real impact?
We’re looking for a proactive and organised bid professional to support and enhance our bid process, helping us coordinate and submit high-quality proposals.
You’ll work closely with our Growth team and subject matter experts across the agency to coordinate tender submissions, manage timelines, and ensure every proposal is delivered to a high standard.
Note: We have a hybrid approach and work in the office 3 days a week, based near the Metro Centre in Gateshead.
The role
As Bid Coordinator, you’ll play a key role in supporting the end-to-end bid process, ensuring bid responses are well planned and organised, compliant, and delivered on time.
You’ll collaborate across teams to coordinate bid activity, gather content, maintain documentation, and help drive continuous improvement across our bid function.
Your ability to manage multiple deadlines, coordinate stakeholders, and maintain high standards of quality will help strengthen our business development efforts across both public and private sector opportunities.
You’ll be responsible for:
Bid coordination and support
- Coordinating the planning and delivery of bid responses, ensuring deadlines and submission requirements are met.
- Organising bid kick-off meetings and tracking progress against submission timelines.
- Managing the bid coordination process, identifying expertise required and planning resources accordingly.
- Supporting the bid writer and subject matter experts to gather content, insights, and supporting documentation.
- Resolving concerns and risks promptly, escalating where necessary to minimise delays or compliance risks.
- Maintaining bid templates, content libraries, and compliance documentation.

Content and quality assurance
- Assisting in drafting, formatting, and proofreading bid responses to ensure clarity, consistency, and alignment with brand guidelines.
- Ensuring submissions align with client expectations and tender requirements.
- Gathering and maintaining case studies, team bios, and supporting proposal content.
- Supporting review and approval processes to maintain quality across all submissions.
Process management and reporting
- Maintaining accurate records of bid activity, outcomes, and feedback to support continuous improvement.
- Supporting the development of best practices and improvements to bid processes and efficiency.
- Assisting with tracking and reporting key bid metrics, including tender submissions and success rates.
- Helping ensure structured and organised bid documentation throughout the process.

The person
Ideally you’ll have:
- Experience in a bid coordination, proposal support, or similar role, ideally within a fast-paced professional services environment.
- Excellent organisational and project management skills, with the ability to manage multiple deadlines effectively.
- Strong written and verbal communication skills with exceptional attention to detail.
- Experience coordinating input from multiple stakeholders and maintaining structured documentation.
- A process-driven mindset with the ability to improve efficiency while maintaining high-quality outputs.
- An understanding of bid processes and public sector tender requirements.
- Strong relationship-building and collaboration skills.
And fantastic if you also have:
- Proficiency with Microsoft Office 365, Dynamics 365, or other CRM systems.
- Experience using bid or project management software.
- A strong desire to learn, develop, and continually improve.
- A positive attitude and willingness to support colleagues and contribute to a collaborative team environment.
- A passion for sharing knowledge and supporting continuous improvement across teams.
