Billing Agent - Role Overview
Billing Agents are responsible for ensuring all customer bookings are invoiced accurately, promptly, and in line with company standards, supporting strong and consistent business cashflow. The role focuses on maintaining correct billing data across systems, ensuring automated invoicing runs smoothly, and resolving exceptions where automation cannot complete a task. Billing Agents investigate discrepancies, process manual invoices when required, and work closely with internal teams, suppliers, and customers to resolve billing queries and ensure data flows correctly.
The role operates in a high‑volume, accuracy‑critical environment and requires strong attention to detail, problem‑solving capability, and a disciplined approach to processes. Collaboration and continuous improvement are key, with Billing Agents encouraged to identify issues, suggest improvements, and support wider business objectives while consistently demonstrating the values of Listen, Adapt, Deliver.
Key Responsibilities
- Load, validate, and reconcile billing data for customer bookings to ensure accurate invoice generation
- Monitor automated invoicing processes, manage exception queues, and resolve root causes
- Process manual invoices for transactions not supported by automation
- Respond to billing queries via Freshdesk, liaising with customers, suppliers, and internal stakeholders
- Reconcile credit card spend and maintain accurate ledger coding, validating VAT, taxes, exchange rates, and cost allocations
- Work closely with Accounts Payable, Finance, Operations, and Customer Service to resolve issues and improve billing workflows
- Maintain compliance with internal controls, support audits, and contribute to operational and process improvements

Skills & Experience
- Experience in billing, accounts receivable, or finance administration
- Strong numerical accuracy and confidence working with high‑volume transactional data
- Competent in financial systems, billing platforms, CRM tools, and Excel
- Clear, professional communication skills and ability to explain billing information effectively
- Highly organised, resilient under pressure, proactive, and adaptable, with a focus on quality and continuous improvement
Qualifications
All Candidates must have one of the Qualifications below
- AAT (Level 2-4) or working towards
- NVQ Level 2 or 3 in Accounting or Finance
- Degree or HND in Finance, Accounting, Business, or a related discipline
- Diploma or Certificate in Accounting, Finance, or Bookkeeping
- Previous experience in a regulated or audit‑controlled finance environment
