Job Description
The Mid-Level Billing Specialist is responsible for managing and processing invoices, ensuring accurate and timely billing to clients, and resolving any discrepancies in payments. This role requires a high level of attention to detail, excellent communication skills, and proficiency in accounting software. The Billing Specialist will work closely with other departments and clients to address billing issues, maintain financial records, and ensure compliance with company policies and relevant regulations.
Responsibilities
- Pause Accounts Follow-Up: Monitor and follow up on paused accounts to ensure accurate billing status and timely resolution.
- Cancel Accounts Follow-Up: Manage the process for following up on canceled accounts, ensuring that all necessary actions are completed and documented.
- Past Due Accounts Follow-Up: Proactively track and follow up on past due accounts to reduce outstanding balances and improve cash flow.
- Quarterly Billing Audits: Conduct quarterly audits of billing processes to ensure accuracy and identify any areas for improvement.
- Communication with Partners/Clients: Serve as the primary point of contact for billing-related inquiries, ensuring clear and effective communication with partners and clients.
- Billing Escalations: Handle billing escalations with professionalism, working to resolve issues promptly and satisfactorily.
- Research Billing Discrepancies and Partner Product Usage: Investigate and resolve billing discrepancies, including discrepancies related to partner product usage, to ensure accurate invoicing.
- Scheduling Cancel Escalations: Coordinate and schedule cancellation escalations, ensuring that all necessary steps are taken.
- Update Components in HubSpot: Regularly update billing components and account information in HubSpot to maintain accurate and up-to-date records.
This role is vital to maintaining the financial health of the company, requiring a detail-oriented individual with strong organizational skills and the ability to manage multiple tasks simultaneously.

- 2+ years experience in a billing or accounting position
- Strong organizational and analytical skills.
- Critical thinking and proven complex problem-solving skills required.
- Customer-first mentality; ability to empathize and build customer loyalty.
- Must be comfortable communicating and negotiating with customers

- Excellent written and oral communication skills.

- An ability to multitask, perform under tight deadlines, and exceed expectations.

POSITION LOCATION
This position is remote and can be conducted out of the team member’s home as long as they have a quiet, dedicated place to conduct business and a fast and stable internet connection.
