Be-Kin Interior Design Studio
Location: 110 Gloucester Avenue, NW1 8HX
Job Type: Part-time
Reports to: Wren Loucks, Creative Director

About Be-Kin

Be-Kin is an interior design studio focused on creating spaces that stimulate wellbeing. As the studio grows, we're looking for a detail-oriented bookkeeper to keep our finances organised and our FF&E procurement running smoothly.

Role Overview

We're seeking a Bookkeeper to manage day-to-day financial administration in Xero and support the procurement process for FF&E (furniture, fixtures & equipment) across our design projects. This is a hands-on role that blends traditional bookkeeping with project-based purchasing coordination specific to the interior design industry — ideal for someone who enjoys structure, accuracy, and keeping multiple moving pieces on track.

Key Responsibilities

Bookkeeping & Xero Management

  • Maintain accurate day-to-day financial records in Xero, including accounts payable and receivable
  • Reconcile bank accounts, credit cards, and vendor statements
  • Process supplier invoices and client billing in a timely manner
  • Track project-level costs and profitability, ensuring correct job/project coding in Xero
  • Prepare and issue client invoices, including deposit and progress billing tied to design milestones
  • Manage payment runs and follow up on outstanding receivables
  • Support preparation of financial reports (P&L, cash flow, project cost summaries) for the accountant and Wren Loucks to review
  • Prepare quarterly VAT return
  • Liaise with the studio's external accountant for VAT, tax, and year-end processes
  • Keep chart of accounts, tracking categories, and Xero workflows organised and up to date

FF&E Procurement Support

  • Process purchase orders for furniture, fixtures, and equipment across active design projects
  • Track FF&E budgets against actuals per project, flagging variances early. You will do this on Estimac/PC software, Xero and our excel spreadsheets
  • Log and track deposits, balance payments, and freight/shipping costs for FF&E orders
  • Reconcile supplier invoices against purchase orders and quotes before payment
  • Maintain organised procurement records (POs, tracking sheets, vendor pricing) for each project

About You

  • Proven bookkeeping experience, ideally 3+ years, with strong working knowledge of Xero (essential)
  • Experience in interior design, architecture, or a project-based creative industry is highly desirable
  • Comfortable managing purchase orders, vendor accounts, and procurement tracking
  • Highly organised, with excellent attention to detail and accuracy
  • Strong communicator, able to liaise confidently with vendors, designers, and clients
  • Able to manage competing deadlines across multiple concurrent projects
  • Proficient in Excel; comfortable learning new project management or procurement tools
  • Discreet and trustworthy when handling sensitive financial information

Nice to Have

  • Bookkeeping qualification or certification (e.g. Certificate IV in Bookkeeping, or equivalent)
  • Experience with design-industry procurement or project management platforms (e.g. Estimac/EstiPC)
  • Familiarity with trade/wholesale purchasing structures common in FF&E sourcing
