Bookkeeper
Legal PA/Bookkeeper
Location: London
Job Type: Full-time, Permanent
Eclectic Recruitment is delighted to be working with a well-established legal practice seeking an organised and proactive Legal PA to join their team. This is a varied role combining PA, bookkeeping, administration, and operational support responsibilities within a professional legal environment.
This position would suit a highly organised individual with strong administrative skills and an interest in financial processes. Previous legal cashiering or SRA Accounts Rules experience is not essential, as full training and support will be provided.
Key Responsibilities
Personal Assistant & Administrative Support
- Opening, maintaining, and organising client files using LEAP case management software
- Undertaking AML and client due diligence checks via LEAP
- Preparing engagement letters and client onboarding documentation
- Assisting with document preparation, formatting, and general correspondence
- Managing diaries, meetings, and general administrative tasks
- Liaising with clients, counsel, and other professional contacts
- Inputting disbursements onto LEAP files
- Reviewing files regularly to identify matters suitable for closure and archiving
- Monitoring unbilled WIP and disbursements, producing reports and highlighting outstanding items requiring attention
- Assisting with billing administration and invoice preparation
- Booking travel, restaurants, and meeting rooms
- Providing general support to the day-to-day operations of the firm

Bookkeeping Responsibilities
- Managing bookkeeping entries and reconciliations
- Undertaking monthly bank reconciliations and three-way checks
- Supporting compliance with SRA Accounts Rules and internal procedures
- Monitoring receipts, payments, and account balances
- Processing partner expenses and expense claims through Xero
- Supporting the preparation of information for accountants and external advisers
- Preparing VAT returns using Xero
- Assisting with improvements to internal systems and financial processes
IT & Operational Support
- Acting as the main point of contact for external IT providers regarding day-to-day issues
- Coordinating the provision of equipment and laptops for staff and work experience placements
- Managing notifications and arrangements relating to overseas use of company mobile devices
- Supporting general technology and operational requirements across the firm

Additional Responsibilities
Over time, the successful candidate may also assist with:
- Processing inter-account transfers
- Supporting payroll-related payments
- Managing supplier payments and general firm expenses
- Helping to develop efficient administrative and financial procedures across the firm
Candidate Requirements
- Excellent organisational and time management skills
- Strong administrative experience and attention to detail
- Good communication skills, both written and verbal
- Confident using Microsoft Office and financial systems
- Experience with Xero would be advantageous
- Experience within a legal environment would be beneficial but is not essential
- Ability to manage multiple priorities and work independently
- Willingness to learn new systems and processes
