Position Overview
Position: Bookkeeper & Account Payable
Location: London Office (Holborn). In-person required, not a remote position
Schedule: Fulltime (Monday - Friday, 8 am to 4:30 pm)
Salary: Starting offer from £36,000 PA

As a Bookkeeper & Payables Clerk, you will play a vital role in ensuring the accuracy and efficiency of our financial operations. You will assist with managing outgoing payments to vendors, suppliers, and service providers, along with crucial internal accounting, such as payroll processing and weekly bookkeeping. This role requires strong organisational skills and keen attention to detail.

Key Responsibilities
- Accounts Payable: Process outgoing payments, including invoices, expense reimbursements, and utility bills. Ensure payments are made accurately and on time, following procedures and approval workflows.
- Processing & Forecasting: Work closely with team leaders to review and verify vendor invoices for accuracy, completeness, and compliance with purchase orders and contracts. Resolve any discrepancies or issues with suppliers as needed or with the relevant team leader. Manage and anticipate payment calendars to effectively oversee cash flow for each department.
- Expense Reconciliation: Reconcile expense reports submitted by employees, confirming adherence to company policies, and ensuring proper documentation is presented for review by the company Accountants.
- Account Management: Maintain relationships with vendors, address inquiries, and resolve payment-related issues in a timely and professional manner.
- Order Processing: Manage and process all internal purchases, such as executing department purchase orders, staff welfare consumables, workplace supplies, etc.
- Financial Record Keeping: Assist in maintaining accurate and up-to-date financial records, including accounts payable ledgers, expense reports, payroll records, and general weekly bookkeeping. Submitting all relevant documents to the Company Accountants

- Travel Expectations: Although the job is primarily based in Central London, candidates must have the flexibility for on-site work commitments. Travel may be required overnight, or on short notice for certain projects or courses.
- Team Collaboration & Flexibility: As part of a small and dynamic team, there will be occasional opportunities to assist with activities outside of core responsibilities, such as helping with store openings, supporting team events, or assisting with ad-hoc projects. While these tasks are optional, we really value a collaborative spirit and the willingness to step in and support each other when needed.
Who We're Looking For
- AAT Level 4 (required)
- Minimum 3 years of experience in bookkeeping
- Previous experience in accounting, finance, or payroll administration
- Proficiency in utilising accounting software including XERO and associated applications
- Strong attention to detail and accuracy.
- Excellent organisational and time-management skills.
- Flexibility to travel between London and other UK cities with short notice if required.
