Position Overview

Position: Bookkeeper & Accounts Payable Location: London Office (Holborn) – In-person required, not remote Schedule: Full-time (Monday–Friday, 8:00 am–4:30 pm) Salary: Starting offer from £36,000 PA

About the Role

As a Bookkeeper & Accounts Payable Clerk, you will play a critical role in ensuring smooth, accurate, and efficient financial operations. Your responsibilities will include managing vendor payments, internal accounting, payroll processing, and weekly bookkeeping. This role demands strong organisational skills and a keen eye for detail.

This position is ideal for:

Key Responsibilities

  • Accounts Payable:
    • Process outgoing payments (invoices, expense reimbursements, utility bills) accurately and on time.
    • Follow procedures and approval workflows to ensure seamless transactions.

  • Vendor Invoicing & Forecasting:

    • Collaborate with team leads to review and verify vendor invoices for accuracy, completeness, and compliance with purchase orders and contracts.
    • Resolve discrepancies with suppliers or relevant team leaders.
    • Balance payment calendars to support departmental cash flow management.
  • Expense Reconciliation:

    • Review employee expense reports for policy compliance and proper documentation.
    • Submit reconciled reports for review by Company Accountants.
  • Vendor Relations:

    • Maintain professional communication with vendors, resolving payment or query-related issues efficiently.
  • Internal Purchasing:

    • Manage and execute department purchase orders, including staff welfare consumables and workplace supplies.
  • Financial Record Keeping:

    • Assist in maintaining up-to-date records: accounts payable ledgers, expense reports, payroll records, and weekly bookkeeping.
    • Submit documentation to Company Accountants for auditing.

Important Notes:

  • Travel expectations: While primarily based in Central London, candidates must be flexible for on-site work commitment(s), including short-notice travel for projects.
  • Team collaboration: As part of a small and dynamic team, volunteers may assist with store openings, team events, or ad-hoc projects—we value a collaborative spirit and willingness to lend support.

Requirements

  • Qualification: Certified in AAT Level 4 (required).
  • Experience: Minimum 3 years of experience in bookkeeping.
  • Finance background: Previous experience in accounting, finance, or payroll administration.
  • Technical skills: Proficiency in accounting software, particularly Xero and related tools.
  • Soft skills:
    • Strong attention to detail and accuracy.
    • Excellent organisational and time-management capabilities.
    • Flexibility to travel between London and other UK cities with short notice when needed.
