Job Title: Box Office Manager and Marketing Assistant, Marylebone Theatre

Company: Anthroposophical Association Ltd

Location: London

Job Type: Full-Time

Schedule: 40 hours per week, usually 9am to 5pm Monday to Friday, with occasional evening and weekend box office shifts for which TOIL is provided.

Salary: £32,000 per annum

Summary

The Marylebone Theatre is seeking a proactive Box Office Manager and Marketing Assistant to oversee the smooth day-to-day running of our box office and in-house marketing. This is an exciting opportunity for someone passionate about sales and marketing to play a key role at an ambitious new venue. This role will suit an experienced box office manager who is also interested in and keen to develop their marketing skills. Based in the stunning Grade II listed Rudolf Steiner House, the theatre opened in 2022 and is both a producing and a receiving house. The role is subject to the terms of UKTheatre / BECTU collective agreement.

BOX OFFICE

Ticketing & Sales

  • To be the main point of contact within Marylebone Theatre for ticketing and marketing
  • Lead internal planning for all ticketing and sales initiatives, including, onsales, cancellations and other product initiatives and policy changes
  • Effective, accurate and efficient sales of tickets and timely and accurate reporting
  • Along with the KX Tickets, develop and maintain relationships with ticket agents, co-producers and other agencies and ensure accurate reporting
  • Manage the refunds policy and process
  • In collaboration with production companies, carry out dynamic pricing changes to reflect demand and maximise sales
  • Management company, production and staff tickets and holds, ensuring timely allocation of required seats, and release for sale as required
  • To create, manage and maintain the customer communications and ticket management process for performance cancellations.
  • Ensure the consistent and accurate reporting of Daily Sales.
  • Ensure any ticketing issues are reviewed and resolved daily
  • Ensuring all duties are completed successfully & consistently by Box Office Team
  • Occasionally to act as Box Office Assistant
  • Production setup and administration
  • Accurate creation of seasons, productions and performances on ticketing system
  • Build seating plans with pricing models taking account specifics of each production
  • Working alongside Producers, create and maintain accurate and up-to-date auditorium maps, ensuring consultation with all relevant departments
  • Maintain good working relationships with all Box Office suppliers, including ticketing system, ticket stock providers and Marylebone Theatre’s web developers
  • Ensuring appropriate sign off on Venue, Corporate Comps and discounts
  • Oversee maintenance of Box Office equipment

Staff

  • Recruit, train, schedule and manage the box office team
  • Ensuring all duties are completed successfully & consistently by Box Office Team
  • Brief staff on all new production or ticketing agreements
  • Create and present documentation and customer FAQs to support the team.
  • Lead the Box Office team to deal effectively and efficiently with customer problems and complaints ensuring we deliver a high quality experience for all patrons
  • Train Box Office team on troubleshooting in case of system breakdown or malfunction

Marketing

  • Schedule and create e-shots to go out to Marylebone Theatre Database
  • Work closely with Marketing Agency, Co-Producers and Incoming Productions to support with delivering Marketing campaigns
  • Arrange PS swaps with other Theatre in London
  • Add Marylebone Theatre shows on Theatre Token website
  • Post on social media (Instagram/Facebook/X) about productions
  • Update website with any requested changes, add new productions
  • Liaise with Website Graphic Designer to request any structural changes of the website
  • Coordinate with Graphic Designer to create a Seasonal What's On brochure
  • Design flyers and posters for events
  • Create Assets for website and social media posts
  • Assist in managing distribution of print collateral, ensuring theatre supply maintained
  • Change flyers and posters displayed at the venue
  • Coordinate pre and post show email to audience

Person Specification

Essential

  • Significant ticket sales experience using a computerised ticketing system (Nliven)
  • Theatre Box Office operations and Internet Ticketing
  • Customer service
  • Sales and financial reporting
  • A collaborative and positive mindset, works well with others
  • Excellent communication skills
  • High standard of written and spoken English
  • Good degree of numeracy
  • Strong attention to detail
  • Computer literacy and ability to learn new systems (MS Office, G Suite and database experience preferred)
  • Demonstrable ability to prioritise effectively and remain calm under pressure.
  • An organised, flexible approach to day to day responsibilities and problem solving

Desirable

  • Team management
  • Spektrix (training will be provided if necessary)
  • Marketing skills including copywriting, graphic design, editing, website updating and social media
