Breakdown Administrator

Service Control Supervisor Assistant Reports to: Service Control Supervisor Location: Elland – Halifax Direct Reports: None


Purpose of the Role

  • Support with the supervision of all maintenance and repair activities
  • Provide effective customer service, building relationships with both internal and external customers
  • Action customer repair, maintenance, and breakdown requests in a timely and cost-effective manner
  • Collaborate within a service team, liaising effectively with other departments
  • Prioritise work, ensuring all documentation is accurate and clear
  • Accurately input all information into in-house software systems
  • Cover any absence or sickness of the regional controller
  • Assist with administration for both the service and admin teams when required, ensuring data accuracy

Key Responsibilities

Customer Service & Enquiries

  • Take customer calls and log repair notifications
  • Allocate appropriate Field Service Engineers to meet customer needs
  • Liaise with UK Service Supervisor and Service Manager regarding any issues
  • Keep customers updated on job progress
  • Handle day-to-day queries from internal and external customers

Work Coordination & Scheduling

  • Enter all jobs into the appropriate in-house computer systems
  • Reschedule jobs and resources based on customer needs and availability
  • Ensure service records are received from Field Engineers for technical review

Record-Keeping & Compliance

  • Accurately record vehicle parts sales from Field Service Engineers
  • Provide data/information (with supporting evidence) to customers about service work completed or outstanding
  • Ensure all documentation is accurate, timely, and sufficient

Team & Cross-Departmental Support

  • Liaise with customers regarding any enquiries or issues
  • Assist other team members when required
  • Collaborate with all departments, particularly on new projects or ongoing initiatives

Other Duties

  • Carry out any additional tasks required to support the role or the needs of the business

Key Result Areas

  • Time management and efficient resource allocation
  • Management of customer enquiries effectively
  • Monitoring Field Service Engineer documentation and accuracy
  • Ensuring best practices are followed when distributing jobs to engineers
