Breakdown Administrator (Weekends)

Service Control Supervisor Assistant – Elland, Halifax

Reports to: Service Control Supervisor Direct Reports: None Location: Elland – Halifax

About the Role

The Service Control Supervisor Assistant will:

  • Support with the supervision of all maintenance and repair activities
  • Provide effective customer service and build strong relationships with both internal and external customers
  • Action customer repair, maintenance and breakdown requests efficiently—both timely and cost-effective
  • Operate effectively within a service team and liaise smoothly with all other departments
  • Prioritise work accurately, ensuring all documentation is correct, up-to-date, and concise
  • Maintain accurate operational records across in-house software systems, including sufficient and suitable visual/deندهment details
  • Cover any regional controller absence or sickness as required
  • Provide administrative support to service and admin teams—including data recording, when needed

Responsibilities

Customer Liaison & Communications

  • Take customer calls and log all repair notifications promptly
  • Allocate Field Service Engineer responses based on customer needs
  • Liaise with UK service supervisor and Service Manager regarding recurring/urgent issues
  • Keep customers updated on job progress, ensuring transparency
  • Address day-to-day queries from internal or external customers professionally

Operational Coordination & Scheduling

  • Ensure all jobs are recorded via in-house computer systems
  • Reschedule jobs and resources dynamically based on customer priorities and resource availability
  • Verify receipt of service records from engineers and submit them for technical review

Back-Office & Sales

  • Track and record field service vehicle part sales accurately—ensuring timely processing
  • Provide data & reports to internal/external customers for completed/outstanding work
  • Assist other team members as needed

Shared Duties & General Support

  • Collaborate with all departments—particularly to support projects or initiatives in progress

Key Result Areas

  • Efficient time management and smart resource allocation
  • Expert handling of customer enquiries
  • Proactive monitoring of engineers’ documentation for completeness
  • Maintenance of industry best practices in job distribution across the field team
