BUCNI Administrator
Administrator – Birkbeck-UCL Centre for Neuroimaging (BUCNI)
Birkbeck, University of London, is seeking an Administrator to support the activities of the Birkbeck-UCL Centre for Neuroimaging (BUCNI), a cross-institutional MRI centre established in 2006, located in Bloomsbury, London.
Working across Birkbeck, UCL, and wider partner communities, you will take lead responsibility for centre organisation and administration, including:
- Finances and billing
- Project setup and administration
- Training organisation
- Facilities oversight
- Essential documentation
A key aspect of the role is managing income from scanner hire and processing charges for all projects delivered through the Centre. This includes:
- Calculating charges and invoicing within Birkbeck and UCL
- Billing external customers
- Processing staff expense claims
- Liaising with Finance to resolve queries
Key Responsibilities
The Administrator will be responsible for:
- Monitoring centre accounts at Birkbeck and UCL and providing financial reporting to the Director and Steering Committee as required.
- Maintaining and updating the BUCNI website, ensuring the BUCNI research community is informed of developments.
- Managing scheduling, invoicing, and organisation of MRI operator training/user training, including safety software supervision.
- Overseeing the online safety training system, including registration of new safety-trained users, arranging refresher sessions (online and in-person), and maintaining up-to-date records.
- Coordinating:
- BUCNI weekly meetings
- Steering groups
- Monthly project presentations
- Maintaining comprehensive records for ongoing and past projects, including:
- Ethics
- Project approvals
- Hours and agreements
- Revisions
- Ensuring scanner suite readiness
- Managing supplies, maintenance of console rooms and reception areas
- Leading contractual obligations and entitlements relating to Siemens Healthcare
- Coordinating service contract payments, maintenance visits, and tender and procurement activity for scanner upgrades/replacements and additional services/equipment.

Salary, Grade & Benefits
- Salary range: £17,414 rising to £19,491 per year (pro-rated £34,827 rising to £38,981 per annum (FTE))
- Grade 5 of the College’s London Pay Scale, including a London Weighting Allowance

- An open-ended, permanent contract at 0.5 FTE (17.5 hours/week), with working pattern to be agreed with the BUCNI Director.
- Enhanced DBS check required.
