The Role: Quality Assurance & Document Control Administrator

This position provides key administrative, document control, and system support for the Quality Assurance (QA) and Electronic Data Management System (EDMS) teams. You will help ensure accurate, compliant, and organised quality documentation while contributing to project success through structured processes.

Key Responsibilities

Quality Assurance & Document Control

  • Support the Quality Assurance Manager, Head of QA, and EDMS team with daily administrative duties.
  • Manage QA documentation in Viewpoint and shared drives, including:
    • Version control, approvals, and folder structures.
    • BSQA documents, Quality Management Plans, Water Management Plans, Quality Bulletins, and Inspection Test Plans.
  • Obtain and update contractor documentation, maintaining revision and competency trackers.
  • Set up, manage, and maintain trackers, including:
    • Notice to Serve, Director Tours, competency and training matrices.
  • Conduct Fieldview spot checks and issue reminder communications.
  • Create workflows, presentations, and quality bulletins for new and updated processes.

Audits, Reporting, & Compliance

  • Collate evidence and prepare documentation for internal and external audits.
  • Track and follow up on corrective and preventive actions.
  • Assist with QA reporting and quality metrics, ensuring records align with company policies and regulatory standards.
  • Work closely with cross-functional teams to gather and verify quality-related information.

EDMS Administration & Management

  • Administer and maintain EDMS platforms (Fieldview and Viewpoint).
  • Monitor compliance with document control procedures and standards.
  • Provide EDMS training, guidance, and troubleshooting support, involving IT when necessary.
  • Support project teams by granting access to technical and contractual documentation.
  • Liaise with subcontractors, consultants, and internal teams to facilitate proper document flow.
  • Distribute project invitations and QR codes to users.

General Administration

  • Manage day-to-day administrative tasks, including scheduling, correspondence, meetings, and training coordination.
  • Maintain accurate records and develop guidelines and templates for QA processes.
  • Support task implementation for upcoming 2026 projects.

✅ Experience

  • Experience in document control and lifecycle management.
  • Knowledge of audit preparation, including evidence collation and follow-up.
  • Hands-on experience with change control, non-conformance processes.
  • Management of training matrices, competency records, and report preparation.
  • Familiarity with risk management, quality improvement activities
  • Experience collaborating with cross-functional teams (e.g., procurement, site teams).
