Building Systems & Project Coordinator
Location: 22 Bishopsgate, London
Reporting to: Smart Buildings, Systems Performance Manager (with additional task management from Senior Project Manager) Service Partners: Design & construction, M&E contractors, data network contractors, and systems vendors

As we continue evolving this landmark, we seek a Building Systems & Project Coordinator to support the delivery of strategic vision, data-driven decision-making, and capital projects.
This role will involve driving operational excellence, championing sustainability through engineering solutions, and ensuring seamless project delivery through improved procurement, governance, and maintenance strategies. You’ll partner with senior leadership to revolutionise management systems, provide insights that guide decisions, and maintain a data-driven approach to all aspects of building operations.
A standout candidate will offer a unique perspective on how data integration, project governance, and technical excellence can be harnessed to deliver operational brilliance.
What You’ll Do
Core Responsibilities
- Deliver data insight and capital projects governance to keep 22 Bishopsgate at the pinnacle of operational excellence.
- Drive optimal building system performance through innovative data-led decision making.
- Champion initiatives to elevate efficiency, reliability, and sustainability via engineering solutions and change projects.
- Support project delivery through detailed programming, strategic procurement, and resource optimisation.
- Align maintenance and investment strategies with ambitious business objectives.

Day-to-Day Tasks
Planning & Execution (Data)
- Convert the systems innovation strategy into executable tech plans.
- Identify, validate and unify data sources for accurate reporting.
- Create real-time data visualisations supporting decision-making for engineering, operations, and teams.
Planning & Execution (Projects)
- Develop and maintain detailed project trackers (milestones, dependencies, actions, decisions) in collaboration with service partners and stakeholder teams.
- Ensure robust project governance (approvals, changes, documentation alignment).
Budget & Financial Management
- Report on project progress, flagging milestones, risks, and cost issues pre-emptively.
Governance
- Maintain data governance frameworks and Licence to Alter (LtA) compliance for occupier works.
- Update and distribute Occupier Guides annually.
Statutory Compliance & Health & Safety
- Manage Construction and Design Management Regulations 2015 documentation.
- Support Health & Safety committee meetings (agendas, minutes, action follow-ups).
Stakeholder Communication
- Translate technical building data into clear, engaging reports for leadership, clients, and stakeholders.
Resource Optimisation & Innovation
- Audit supplier performance and contract governance through service level agreements.
- Identify opportunities for improved data visualisation and automation using tools like Power BI/Tableau.
Requirements
Essential
- Strong interest in developing a career in technical services, projects, or networks.
- Highly organised, with a structured approach to completing tasks.
- Foundational knowledge of data analysis, engineering principles, or data networking (no formal degree required).
- Proven ability to coordinate multiple stakeholders/suppliers to deliver agreed actions within deadlines.

Desirable
- Experience in a Project Management Office (PMO) or similar role.
- Familiarity with commercial real estate or built environment delivery.
- Understanding of CDM Regulations 2015 and project governance.
- Experience using CAFM systems or data visualisation tools (e.g., Power BI, Tableau).
- Working towards a project management qualification (PRINCE2, APM).
