Business Administrator – Highways Contract (12 Month FTC) | Colas Ltd
We are a UK subsidiary of the global Colas Group, specialising in highways construction, infrastructure projects, airfields, marine services, and highway maintenance. As a Gold Investor in People, we combine innovative surfacing products with a culture of continuous development.
Purpose of the Role
Join our Highways team as a Business Administrator on a 12-month fixed-term contract. This varied and critical role ensures the smooth delivery of highway operations, projects, and compliance activities, supporting both team members and external stakeholders while maintaining professional standards.
Key Responsibilities
Core Administrative Duties
- Provide daily support to the Highways team:
- Coordinate meetings, diaries, agendas, and minutes
- Process and monitor purchase orders, invoices, and contractor payments in collaboration with the finance team
- Manage database maintenance for highways assets, records, and project systems (e.g., Street Manager, Confirm, COUPA)
Project and Compliance Support
- Support delivery of highway projects, including:
- Maintaining inspection and project data
- Coordinating permit applications and site visits
- Preparing documentation, reports, and statutory notices
- Assist in contract administration by managing:
- Contractor records for efficiency
- Project files, deadlines, and seamless handover processes

Health & Safety & Regulatory Compliance
- Ensure accurate record-keeping for:
- Risk assessments
- Permits and method statements
- Support Freedom of Information (FOI) requests
- Help maintain a safe, compliant, and efficient operational system
Customer Service & Communication
- Represent Colas professionally to internal teams, contractors, and the public
- Develop strong relationships while balancing detailed accuracy with operational flexibility
Ideal Candidate
Experience & Skills
- Proven administrative experience in a fast-paced environment
- Strong IT confidence with databases, MS Office (Excel, Word, Outlook), and project management tools
- Excellent attention to detail and organisational abilities, balancing multiple priorities
- Additional experience in permit systems (e.g., Street Manager), works management tools, or COUPA is advantageous
Qualifications (Minimum)
- GCSEs (or equivalent) in English and Maths
- Practical experience in accurate record-keeping and record management systems

- Breast understanding of industry regulations and compliance requirements
Package Offered
###Financial & Professional Benefits
- Salary: £24,800 – £29,000 (12-month fixed-term contract)
- Pension scheme with a total company/employee contribution of up to 10%
