Job Summary
30 hours per week-Monday to Friday.
Working pattern to be decided.
To provide high-quality administrative support to the primary care team, assisting in the smooth running of day-to-day operations, patient services, and business processes. The apprentice will work under supervision while completing a Level 3 Business Administrator Apprenticeship, gaining experience across key functions which may include reception, patient records, finance, HR, and project coordination.
Main duties of the job
Administrative Support
- Assist with general office tasks including filing, photocopying, scanning, and data entry.
- Manage incoming and outgoing correspondence, including emails and post.
- Maintain accurate patient records and update systems in line with GDPR and NHS policies.
- Support scheduling and coordination of meetings, taking minutes where required.
Patient Services
- Assist the reception team with greeting patients, booking appointments, and answering phone calls.
- Provide a courteous and efficient service to patients, clinicians, and other stakeholders.
- Help manage patient queries and signpost them to the appropriate services.
Business Operations
- Support the practice manager with financial tasks, such as invoice processing, petty cash, and stock control.
- Assist in maintaining compliance documentation including health & safety, training logs, and policy reviews.
- Help prepare reports, dashboards, and communications for internal use.
Apprenticeship Learning
- Complete all learning modules and assessments as part of the PMA Business Administrator Level 3 apprenticeship.
- Attend off-the-job training sessions and apply new skills within the workplace.
- Maintain a learning portfolio and engage in regular reviews with the training provider and supervisor.

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
Health & Safety
The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety Policy, the practice Health & Safety Manual, and the practice Infection Control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
- Demonstrate due regard for safeguarding and promoting the welfare of children.

Person Specification
Qualifications
Essential
- Entry Requirements:
- GCSEs in English and Maths (Grade 4/C or above) or equivalent
- Right to work in the UK
- Interest in healthcare and business administration
- No prior qualification at Level 3 or higher in a similar field (apprenticeship eligibility criteria)
Desirable
- Skills & Qualities:
- Strong communication and interpersonal skills
- Excellent organisational skills and attention to detail
- Proactive attitude and willingness to learn
- Basic IT skills, including use of Microsoft Office (Word, Excel, Outlook)
- Ability to work as part of a team and independently
