Business Administrator (Ref: 19536)

Business Administrator (Administrative Support) – HM Prison Frankland, Durham

Location: HM PRISON FRANKLAND, Durham, DH1 5YD

About the Role

Job holders within this Group Profile provide administrative support to managers and frontline staff by undertaking transactional work in a particular specialism.

This is a non-operational role, which may occasionally involve indirect contact with prisoners depending on the area of work. No line management responsibilities are included.

Key Responsibilities

Administrators within this role typically fulfil the following tasks:

  • Organise, produce, and maintain accurate records for their assigned area of work
  • Act as the primary point of contact for team and external communications, including:
    • Prioritising and distributing communications to the correct personnel or departments
    • Coordinating between stakeholders and agencies to ensure information sharing
  • Complete monitoring returns and finance requisitions (input and processing)
  • Coordinate real-world awareness sessions (training, workshops, etc.)
  • Prepare paperwork for managerial review, conducting initial validation as required
  • Maintain and update establishment databases, manual filing systems, and logs
    • Respond within agreed timescales for queries
    • Prepare reports and collated information, including Service Delivery Indicators (SDIs)
  • Act as secretariat/admin support for meetings, including:
    • Organising agendas
    • Drafting minutes and distributing action points

Key Requirements & Commitments

Essential Criteria

  • Ability to fulfil role responsibilities fluently in English (or Welsh, if specified in Wales)
  • Willingness to complete practitioner-specific training upon joining post
  • Desire to align with HM Prison & Probation Service’s operational values
  • Confidentiality & integrity (handling sensitive records and prisoner-related information)

Operational Details

  • Hours: 37-hour workweek
  • A renewable counter-terrorist security clearance will be required
  • Disclosure and Barring Service (DBS) check mandatory
  • Must comply with government baseline personnel security standards
