Business Analyst – HRIS (Fixed-Term Contract, 6 Months – Potential Extension)
About the Role
We’re seeking an experienced Business Analyst – HRIS to join our team on an initial 6-month Fixed-Term Contract (FTC), with potential for extension based on business needs.
This role is ideal for a strategic business analyst with expertise in HR systems (preferably UKG Ready, but other HRIS platforms considered), program management, and stakeholder collaboration. The successful candidate will bridge the gap between business operations, HR technology, and technical development teams, ensuring seamless business requirements translate into effective, efficient HR solutions.
Key Responsibilities
Business Analysis & Stakeholder Management
- Partner with HR, Payroll, Learning & Development, and Recruitment teams to analyse operational challenges and opportunities.
- Facilitate workshops, interviews, and discovery exercises to document detailed business requirements.
- Translate requirements into clear functional specifications and user stories for Infrastructure, IT, and UKG Ready development teams.
- Act as the primary liaison between non-technical stakeholders and technical teams to ensure aligned delivery.
- Present recommendations, project updates, and system changes to cross-functional stakeholders (from operational teams to senior leadership).
Program & Project Management
- Lead HRIS-related projects, enhancements, and transformation initiatives, including scope, timelines, and risk management.
- Develop project plans, milestones, and communication strategies for fast-paced project delivery.
- Manage multiple stakeholders and priorities across business units, vendors, and technical teams.
- Support organisational change initiatives, ensuring smooth adoption of new systems and processes.
HRIS & System Management
- Assist in system optimisation, workflow improvements, and UKG Ready configuration with technical teams.
- Maintain process documentation (e.g., business rules, user approvals, automation flows) and change management records.
- Ensure HR technology solutions align with business processes, compliance, and data integrity requirements.

Process Improvement & System Enhancement
- Identify automation opportunities to streamline HR and workforce-related workflows.
- Analyse existing systems to propose best-practice process improvements.
- Evaluate new HRIS functionality and guide adoption decisions for efficiency gains.
- Drive continuous improvement initiatives that enhance efficiency, user experience, and data quality.
Reporting & Data Analytics
- Collaborate with stakeholders to define reporting and analytics needs.
- Support the creation of dashboards, HR metrics, and workforce analytics (ensuring data consistency and accuracy).
- Perform data validation, audits, and governance to maintain compliant HR datasets.
User Training & Change Management
- Develop and deliver training materials, user guides, and onboarding sessions for HR, Payroll, and end-users.
- Create instructor-led and virtual training programs tailored to role-specific HRIS functionalities.
- Promote adoption strategies to ensure smooth transition and minimal disruption.
Implementation & Testing Support
- Define testing requirements and business acceptance criteria (BACs) for HRIS implementations.
- Support User Acceptance Testing (UAT) and regression testing across business and technical teams.
- Coordinate go-live activities, system upgrades, and vendor change releases.
Integrations & Technical Collaboration
- Work with Infrastructure teams, vendors, and UKG support on HR system integrations.
- Assist with data migration, imports/exports, and validation between HR platforms and business systems.
Compliance & Security
- Support access management and role-based security policies in accordance with company standards.
- Ensure compliance with UK GDPR, Data Protection Act 2018, and internal data governance frameworks.
Requirements
Essential Skills & Experience
- Proven experience as an HRIS Business Analyst, HR Technology Analyst, Systems Analyst, or similar role.
- Strong ability to gather, document, and validate business requirements for HR and payroll systems.
- Experience partnering with business teams and technical resources to deliver HR technology solutions.
- Project/Program Management experience (familiarity with agile/waterfall methodologies desired).
- Expertise in HR systems implementations, upgrades, or digital transformation projects.
- Excellent stakeholder management and communication skills (scaling from back-office teams to executive leadership).
- Ability to train end-users on complex HRIS platforms and drive adoption.
- Strong analytical, documentation, and problem-solving skills.
- Agility to quickly learn and adapt to new HR technology stacks (e.g., UKG Ready or other HRIS platforms).
- Right to work in the UK.
- Proficiency in Microsoft Office (Excel, PowerPoint, Visio/Oracle Visio for process mapping) is essential.

Desirable Skills & Experience
- Prior UKG Ready experience (highly advantageous but not mandatory).
- Experience with Workday, Oracle HCM, SuccessFactors, ADP, or similar HRIS platforms.
- Familiarity with HR, Payroll, Recruitment, or Workforce Management systems.
- Technical awareness of system integrations (APIs), data migration, and HR data governance.
- Business Analysis Certification (e.g., CBAP, CCBA) or Project Management Qualification (e.g., PRINCE2, PMP, AgilePM).
