Business Assistant

Location: Bank Street, Canary Wharf
Contract: 3 month rolling
Work Setup: Onsite - 5 days in the office


We are looking for a proactive Business Assistant to support two Managing Directors, seven Executive Directors, seven Vice Presidents and around 17 junior team members. You will manage complex diaries, travel and expenses, provide high quality administrative assistance, and act as back up cover for the Head of EMEA & APAC IB Wholesale Credit Risk when required. Over five years' EA experience is required; experience within investment banking is preferred.

What You'll Do

  • Maintain and cultivate senior level relationships across client executives, Global Technology, EMT and Business Management to support strategic engagement and stakeholder alignment.
  • Provide comprehensive executive diary and inbox management, coordinating internal and external meetings, travel, visas and accommodations, and producing detailed itineraries while handling frequent last minute changes.
  • Plan, set up and manage executive meetings and events (conference calls, telepresence, town halls, off sites, senior visits and roadshows), ensuring logistics, technical set up and attendee coordination.
  • Process and reconcile travel and expense transactions through Concur, manage reimbursements and personal account balances, and liaise with Expense Management teams for monthly reconciliations.
  • Act as a systems expert for internal tools (Concur, eSource, Travel Portal, iMeet/iMemo, Microsoft Teams/Zoom, OMD, Cross Border), ensuring accurate data entry and best practice use.
  • Embed within the business to understand and anticipate group priorities, banker expectations and the political landscape, providing proactive support aligned to organisational objectives.
  • Support a collaborative team environment, providing cross cover, sharing knowledge and contributing to a resilient support function.

What You Bring

  • Proven Executive Assistant with over five years' experience managing diaries, complex travel arrangements and expense processing; experience within investment banking preferred.
  • Understanding of commercial and investment banking culture, cost control/expense policy awareness, and willingness to mentor peers and work collaboratively.
  • Highly polished corporate communicator with tact, discretion and sound judgement in confidential and client facing situations.
  • Calm, positive and resilient under pressure, punctual, reliable and adaptable to changing priorities.
  • Strong gatekeeper with the ability to manage stakeholder expectations proactively and build trusted relationships at all levels.
  • High attention to detail, initiative to follow up without prompting, and consistent delivery of high quality results.
