Business Development Administrator
Administration Support – Business Development Leadership Team
About the Role
The administration support role provides critical operational and clerical assistance to the business development leadership team, including:
- Business Development Managers
- Head of Business Development
- Commercial Team
- Customer Service Team
- Marketing Team
- Area Teams
This function ensures seamless administrative processes to support B2B partnerships, customer onboarding, ticket management, and financial transactions.
Main External Contacts
- Current and new accounts (businesses onboarded via Business Development Managers)
- Customers securing B2B-oriented tickets through our direct solutions
- Fulfilment partners (ticketing providers, direct debit solutions)
Key Responsibilities
B2B Order & Account Management
- Process all B2B client orders, including direct supplier coordination
- Handle invoicing and crediting for corporate accounts
- Update and maintain the B2B dashboard to support performance tracking and team targets
- Manage customer sign-ups, account changes, cancellations, and ticket fulfilment
- Oversee general administration of the direct debit scheme

Customer & Fulfillment Support
- Agree and manage answers to general queries via shared inboxes for direct-debit customers
- Utilise proprietary software to load mobile tickets onto the Arriva app
- Load and distribute smart cards via designated systems
- Coordinate bulk student bus pass orders, including:
- Record-keeping and data reporting
- Processing cancellations and amendments
- Ensure customer files and records remain up-to-date

Operational & Event Assistance
- Provide on-site or event support when required, outside normal office hours
Core Requirements
- Proven administration experience, preferably within customer service, clerical, or business operations
- Full proficiency in Microsoft Office:
- Word, Excel (including data management/analysis)
- Outlook (email/organisation)
- Microsoft Teams (collaboration or meeting support)
- Exceptional professional written and telephone communication skills
- Ability to work in a fast-paced environment with tight deadlines
- Strong prioritisation and workload management abilities
- Collaboration-ready with a team-focused mindset
- Confidentiality awareness, adherence to GDPR guidelines, and discretion in sensitive tasks
