We’re looking for a highly organised and proactive Personal Assistant / Coordinator to support the Business Development & Marketing (BD&M) leadership team at a global level.

This is a pivotal role at the heart of the function - ensuring leadership activity is coordinated, priorities are clear, and operations run smoothly across the UK, EMEA, and APAC.

What you’ll do

You’ll act as a central point of contact for BD&M, supporting senior stakeholders and enabling the team to operate efficiently and effectively.

Executive & leadership support

  • Manage complex diaries and coordinate meetings across multiple time zones
  • Prepare agendas, materials, and track follow-up actions
  • Support senior leadership with day-to-day coordination

Planning & coordination

  • Coordinate key meetings, planning cycles, and communication flow
  • Track priorities and ensure actions are followed through
  • Support reporting processes by gathering and collating inputs

Operational support

  • Manage expenses, travel, and logistics
  • Support budget tracking and finance processes (including Emburse)
  • Provide guidance on operational processes and administration

Team & function support

  • Act as a central contact point for BD&M queries
  • Support onboarding and induction tracking for new joiners
  • Maintain intranet updates and track team changes
  • Help ensure information is accessible and well managed

What we’re looking for

We’re looking for someone who thrives in a fast-paced, global environment and enjoys bringing structure, organisation, and clarity to complex activity.

You will bring:

  • Experience supporting multiple senior stakeholders simultaneously
  • Strong diary, meeting, and coordination experience across time zones
  • Experience in operational administration, including expenses, travel, and reporting support
  • Confidence working with senior individuals and managing competing priorities
  • Exceptional organisation and attention to detail
  • Strong stakeholder management and communication skills
  • A proactive, solutions-focused approach
  • The ability to prioritise and follow through on tasks effectively
